Accounts Payables Assistant

Purpose of the Job

The Accounts Payable Assistant is responsible for the accurate and timely processing of supplier invoices, creditor reconciliations, payment runs, general ledger allocations, statutory payments and accounts payable reporting. The role ensures that supplier obligations are settled within agreed terms, costs are correctly allocated to operational files and the general ledger, VAT requirements are met, and complete supporting documentation is maintained.

Duties and Responsibilities

• Process, post and load daily cash-on-delivery creditors and supplier invoices.

• Manage supplier invoice and payment cycles, including weekly, twice-monthly and monthly payment runs.

• Prepare and load local and foreign supplier payment batches and remittance advices.

Validate supplier invoices for accuracy, completeness, appropriate authorization and VAT compliance.

• Verify supplier banking details and payment information in line with company controls before payment release.

• Reconcile supplier statements to the accounts payable ledger and investigate unmatched invoices, payments and credit notes.

• Ensure approved supplier balances are paid within agreed terms and follow up on outstanding queries.

• Ensure all general ledger, cost-centre, shipment and operational job allocations are accurate and processed on time.

• Liaise with shipping lines and other suppliers to resolve invoice, rate and payment queries.

• Work closely with Operations to ensure accurate cost allocation and timely capture of operational accruals.

• Prepare supporting documents for VAT reconciliations and assist with VAT-related queries.

• Support month-end close, creditor ageing reviews, external audits and statutory compliance requirements.

• Maintain a complete audit trail for invoices, approvals, payment support and accounting entries.

• Escalate duplicate payments, irregular invoices, unauthorized supplier-detail changes, fraud indicators and material control weaknesses.

Knowledge and Skills Required:

• National Certificate or Diploma or degree in Accounting, Finance, Business Administration or a related financial qualification.

• Minimum 2 years’ relevant experience in accounts payable, creditors, finance operations or a similar role would be advantagous

• Practical experience processing supplier invoices, creditor reconciliations, payment batches and remittance advice.

• Ability to prepare local and foreign supplier payments and support short-term liquidity reporting.

• Experience liaising with suppliers, shipping lines, Operations and Cost Managers to resolve discrepancies.

• Strong numerical, reconciliation and analytical skills.

• High attention to detail, accuracy, integrity and confidentiality.

• Good communication, stakeholder-management and problem-solving skills.

• Knowledge of accounts payable controls, banking verification and segregation of duties.

• Advanced Microsoft Excel; Microsoft Word, PowerPoint and Outlook

• Experience with AS400 and Microsoft D365 Finance & Operations or similar ERP/accounting systems is advantageous
