Job description
The company is currently looking for a Accounts Supervisor that is responsible for leading the daily transactional accounting and month-end reporting functions for the African Star Pac and Corrugreen entities. Overseeing a dedicated team consisting of a Creditors Clerk and a Debtors Clerk, this role requires deep technical expertise in managing multi-currency ledgers, executing complex import/export accounting (including landed costs and FOREX management), and ensuring strict statutory compliance. The supervisor will drive process efficiencies, guide their direct reports, and ensure the absolute integrity of the financial data across both entities..
Duties and Responsibilities:
- Direct Supervision: Manage the daily workflows, task prioritization, and deadlines for the Creditors Clerk and Debtors Clerk.
- Performance & Mentorship: Conduct regular performance reviews, identify training opportunities, and handle any departmental disciplinary or grievance procedures.
- Workflow Delegation: Distribute workloads effectively to prevent bottlenecks, ensuring the clerks meet all daily targets, especially during high-volume import periods or month-end close.
- Internal Controls: Enforce standard operating procedures (SOPs) across the AP and AR functions. Continually assess financial controls managed by the clerks to prevent fraud, minimize risk, and improve processing efficiencies.
- Landed Cost Management: Oversee the accurate calculation, capture, and allocation of landed costs (including foreign invoice values, freight, marine insurance, customs duties, and clearing agent fees) to ensure accurate inventory valuation.
- FOREX Realization: Calculate and record realized and unrealized foreign exchange gains and losses at month-end, ensuring accurate revaluation of foreign creditors, debtors, and Customer Foreign Currency (CFC) bank accounts.
- Forward Exchange Contracts (FECs): Track, reconcile, and account for FECs in alignment with the company's hedging and treasury strategies.
- Customs & Clearing Reconciliation: Reconcile clearing and forwarding agent accounts, ensuring that all SARS customs VAT and duties are accurately accounted for and supported by valid documentation (e.g., SAD500 / MRN documents).
- Cross-Border Compliance: Ensure all foreign payments comply with Exchange Control Regulations (e.g., SARB requirements), including the accurate completion of Balance of Payments (BOP) forms and tracking of UCR (Unique Consignment Reference) numbers.
- Month-End Close: Drive the strict month-end timetable for both AFRICAN STAR PAC and CORRUGREEN, ensuring all sub-ledgers managed by the clerks are closed accurately and on time.
- Intercompany Reconciliations: Manage the intercompany loan accounts and cross-billing between AFRICAN STAR PAC, CORRUGREEN, and any other group entities. Ensure intercompany balances eliminate perfectly at month-end.
- Complex Journal Entries: Process and authorize high-level month-end journals, including payroll allocations, depreciation, prepayments, accrued liabilities, and provisions.
- Fixed Assets: Maintain the Fixed Asset Registers for both entities, ensuring accurate capitalization of new assets, monthly depreciation runs, and coordination of annual asset verifications.
- Creditors Oversight: Supervise the Creditors Clerk in the reconciliation of local and foreign supplier accounts, ensuring Goods Received Vouchers (GRVs) are accurately matched against invoices and import documentation.
- Payment Runs: Review and authorize local and international payment batches prepared by the Creditors Clerk before final management release, ensuring optimal utilization of credit terms.
- Age Analysis Management: Scrutinize the AP age analysis, guiding the Creditors Clerk to resolve long-outstanding queries, unallocated payments, or disputes with clearing agents and suppliers.
- Debtors Oversight: Supervise the Debtors Clerk to ensure the timely generation of invoices for both local sales and export shipments.
- Export AR: Ensure export invoices processed by the Debtors Clerk comply with zero-rated VAT requirements and are supported by the necessary export documentation (bills of lading, commercial invoices, packing lists).
- Collections & Risk: Review the AR age analysis, guide the Debtors Clerk on problematic accounts and collection strategies, and assess credit limits for new local and international clients.
- Multi-Currency Cashbooks: Oversee the daily processing and monthly reconciliation of all local currency and CFC bank accounts.
- Cash Flow Forecasting: Consolidate AP requirements and expected AR receipts from the clerks to provide the Finance Manager with accurate weekly cash flow projections across both entities.
- Petty Cash & Credit Cards: Supervise the reconciliation of company credit cards, fleet cards, and petty cash accounts.
- VAT & Tax Compliance: Prepare, review, and submit consolidated VAT returns (e.g., VAT201), paying special attention to the correct claiming of import VAT and adherence to zero-rating rules for exports.
- Employee Taxes: Ensure accurate integration of payroll into the general ledger and oversee the reconciliation of statutory payroll deductions (PAYE, UIF, SDL).
- Audit Preparation: Act as the primary operational liaison during interim and final external audits. Prepare comprehensive audit files, balance sheet reconciliations, and lead schedules for both AFRICAN STAR PAC and CORRUGREEN.
Skills and Competencies:
- Month-End Deadlines: 100% adherence to the month-end reporting timetable for AFRICAN STAR PAC and CORRUGREEN.
- Reconciliation Accuracy: Zero unexplained variances on bank, intercompany, and clearing agent reconciliations over 30 days.
- Clerk Productivity & Accuracy: Sub-contractor/vendor and debtor queries resolved within 48 hours; zero unallocated cash receipts older than 7 days.
- FOREX & Landed Costs: Maintain a sub-1% margin of error on landed cost allocations and FOREX journal entries.
- Compliance: Zero penalties from revenue authorities (e.g., SARS) regarding late or inaccurate VAT/Customs submissions.
- Advanced ERP system experience (e.g., Syspro, Sage Evolution, SAP Business One, or Microsoft Dynamics) with a focus on inventory and multi-currency modules.
- Advanced Microsoft Excel skills (Data manipulation, VLOOKUP/XLOOKUP, Pivot Tables, and complex formulas).
- Strong working knowledge of landed cost calculations, FOREX translations, and Exchange Control regulations.
- Deep understanding of VAT legislation as it pertains to imported goods and exported services/products.
Requirements and Experience:
- Education: Bachelor’s Degree (BCom / BTech) or Advanced Diploma in Accounting, Financial Management, or equivalent.
- Professional Certification: Registration with SAIPA (Professional Accountant), CIMA, AGA(SA), or similar is highly preferred.
- Minimum of 5–7 years of robust accounting experience up to the trial balance/management accounts level.
- Must have a minimum of 2 years of experience in an environment handling Imports/Exports, Logistics, or Wholesale Distribution.
- Demonstrated experience directly managing, supervising, or leading transactional accounting staff (specifically Creditors and/or Debtors clerks).
- Working Hours: Monday to Friday 08:00 - 17:00.
