Job description
Duties and Responsibilities
Administration duties (but not limited to):
· Management of Block Plan Calendar as per ASSC due dates and deadlines
· Manage the usage of all templates as per UXI QMS and Policies and Procedures
· Manage Teaching & Learning Reports timeously
· Manage Projects progress sheets and SORs
· Manage On-site registers and Summary sheets
· Assist with recruitment in consultation with Admin Executive
· Manage Academic Committee Meetings
· Manage Notification of Training output
· Manage own HR Appraisals
Manage the following aspects:
· Learning material requests
- Reporting
- Training needs
- Assistance and guidance to facilitators
- PoE audits
- Review of QMS documents in use and request changes where necessary
· Implementation & Lesson Plans
- Mentoring
- Manage, Quality Assure creation of training files according to index, quality assure data and evidence relevant to intervention and handover to ETD Administrator, assessment book-out and verification purposes
- Manage and quality assure new applications and supporting documents on UXI Connect.
- Manage the implementation plan and report back to Campus Manager on progress
- Plan implementation of all training, liaise with facilitators and role players and ensure that teaching guidelines are understood
- Requests for learning material and resources (Identify needs)
- Manage the setup of venue/classrooms to deliver training on-site
- Learning schedules compiled and communicated to role players
- Reporting on all projects – Contract Management Sheet
- QA SOR (QCTO Statement of Results)
- Manage the PoE and archive processes (do regular spot audits)
- Manage the scan procedure (all documents) into folders for access on UXI Connect
- QA and Update Contract Management sheet on short skills regularly (LA numbers)
- Report on Facilitator feedback regarding Learning Material (review needs)
- Manage learner registers and Summary reports
- Review completed KM, KT and PM assessments booked into PoE's into the archive
Qualifications
· High school diploma
· Tertiary qualification will be beneficial.
· Proficient in MS Office (Word, Excel, PowerPoint and Outlook)
Work experience
· minimum 5 years of administrative manager experience
Attributes
· advanced computer skills in MS-Office, Use of internet, Outlook (emails),
· familiar to work on a laptop or tablet, print and scan,
· excellent communication, and organisational abilities,
· accurate when capturing data and
· 100% bilingual (Afrikaans and English).

· must we willing to learn and work under pressure
