Remote | Full-Time

Working Hours: Monday – Friday | 8:00 AM – 5:00 PM Eastern Standard Time (EST)

Salary: R22,000.00

As the firm enters an exciting new phase of growth and modernization under new operational leadership, they are looking for a highly organized Administrative Assistant to become an integral part of their close-knit team.

This role is perfect for someone who enjoys creating structure, providing exceptional client service, and ensuring day-to-day operations run smoothly. You will work closely with the CEO and legal team, acting as one of the first points of contact for clients while supporting the firm’s administrative and operational functions. Key Responsibilities

•⁠ ⁠Answer incoming office calls professionally and direct enquiries appropriately.

•⁠ ⁠Take accurate and detailed messages, ensuring they are communicated promptly to the appropriate team members.

•⁠ ⁠Monitor and manage shared email inboxes, responding to or escalating enquiries where appropriate.

•⁠ ⁠Organize digital files, emails, and administrative records to maintain efficient workflows.

•⁠ ⁠Provide general administrative and clerical support to the legal team and CEO.

•⁠ ⁠Schedule appointments, consultations, meetings, and maintain calendars.

•⁠ ⁠Prepare documents, correspondence, and reports as required.

•⁠ ⁠Conduct online research and compile information for various business and legal matters.

•⁠ ⁠Assist with document management, filing, and maintaining confidential records.

•⁠ ⁠Support day-to-day office operations and assist with special projects as needed.

•⁠ ⁠Identify opportunities to improve administrative processes and contribute to the firm’s ongoing modernization.

•⁠ ⁠Maintain professionalism, discretion, and confidentiality in all client and internal communications.

Requirements

•⁠ ⁠Minimum of 2 years’ experience in an Administrative Assistant, Office Administrator, or similar role.

•⁠ ⁠Previous experience supporting a US-based business is highly advantageous.

•⁠ ⁠Excellent spoken and written English with outstanding communication skills.

•⁠ ⁠Professional telephone manner and strong client service skills.

•⁠ ⁠Highly organized with exceptional attention to detail.

•⁠ ⁠Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

•⁠ ⁠Strong proficiency in Microsoft Office and Google Workspace.

•⁠ ⁠Comfortable working independently in a fully remote environment.

•⁠ ⁠Experience supporting senior leadership or executives is advantageous.
