Department Description/Departement Beskrywing
Centre for the Advancement of Social Impact and Transformation Administrative Officer (Post Level 11) (Stellenbosch Campus) Ref. ASI/199/0726 The Centre for the Advancement of Social Impact and Transformation (CASIT) functions as a Professional and Administrative Support Service (PASS) entity within the Responsibility Centre of People, Culture and Transformation. It is mandated to advance, advocate, engage, advise, guide, develop, support, facilitate, activate, co-create, influence, enable, coordinate institutional engagements in terms of Social Impact and Transformation at Stellenbosch University (SU). The Centre is to be also responsible for reporting, monitoring, and evaluation of Social Impact and Transformation on an institutional level. The role is central to ensuring day to day operations of CASIT. The Administrative Officer is responsible for assisting the Financial Officer with requisitions and purchase orders for student projects and staff support (portfolios) at CASIT.
Duties/Pligte
- Responsible for general office procurement (equipment and computer accessories).
- Completing requisitions and payments on behalf of the Division.
- Assisting the Financial Officer with monitoring and asset registration.
- Assisting the Financial Officer with quarterly monitoring.
- Providing administrative support to all staff within the Centre.
- Providing administrative support to the facilities officer of the Old Luckhoff building.
- Receiving guests and dealing with general queries.
- Taking responsibility for the administration and logistics in support to functions in the Centre.
- Providing logistical support for workshops, travel, accommodation and arrangements.
- Administering the strategic calendar of the Division.
- Responsible for overall office supervision, including coordination of cleaning support to the Division.
Job Requirements/Pos Vereistes
- Qualification in office administration.
- A Matric certificate.
- At least two years' secretarial and/or administrative experience.
- Excellent verbal and written communication skills.
- The ability to liaise appropriately with individuals within and outside the University.
- Proven knowledge and extended experience of the use of administrative and financial computer systems.
- Independence and accuracy in performing tasks.
- Proven computer proficiency in the use of the Microsoft Office package (Word, Excel, PowerPoint and Outlook).
- High-level organisational ability with proven ability to prioritise.
- Outstanding interpersonal skills.
