Tsebo Facilities Solutions is looking for a Administrator (Business Support) to provide administrative and operational support to the Technical Manager and Management Team by coordinating maintenance processes, managing contractor activities, maintaining accurate records, and ensuring compliance with service, safety, and quality standards.

Duties & Responsibilities
Administrative & Operational
- Support Provide administrative support to the Technical Manager and site management team
- Prepare, format, and maintain professional documentation and reports
- Maintain accurate filing systems (electronic and manual)
- Handle general office administration duties
Maintenance Coordination
- Create and maintain preventative maintenance schedules via the helpdesk system
- Log, track, and follow up on maintenance requests and service calls
- Monitor job completion and escalate delays where necessary
Contractor Management
- Coordinate contractors for maintenance work, including sourcing pricing and specifications
- Maintain an approved contractor database
- Monitor contractor performance and ensure adherence to requirements
Procurement & Financial Support
- Liaise with procurement regarding service requests and compliance processes
- Assist in reviewing monthly expenditure and reporting on variances
- Support cost control by monitoring work orders and contractor spend
Client & Stakeholder Support
- Support management in maintaining strong client relationships
- Respond to client queries and ensure timely resolution of service issues
- Contribute to service improvement initiatives
Compliance, Quality & Safety
- Support implementation of ISO standards (Quality, Environmental, Health & Safety)
- Assist in maintaining compliance with Occupational Health & Safety requirements
- Participate in site inspections, audits, and safety checks Help ensure audit scores meet minimum requirements (e.g., 75% target)
Continuous Improvement
- Identify areas for improvement during inspections and service delivery
- Support initiatives to improve operational efficiency and service quality
Skills and Competencies
- Strong administrative and organisational skills
- Effective verbal and written communication High attention to detail and accuracy
- Ability to prioritise and manage multiple tasks simultaneously
- Strong stakeholder engagement and interpersonal skills
- Proficiency in compiling reports and maintaining documentation
- Knowledge of contractor coordination and procurement processes
- Basic understanding of facilities management operations
- Ability to work independently and take initiative
Qualifications
Qualifications
- Grade 12 (Matric)
- Computer literacy (MS Office – Word, Excel, Outlook)
Experience
- 2–3 years’ experience in a similar administrative or facilities support role
- Experience working with service level agreements (SLAs)
- Exposure to customer service environments and contractor coordination
