Job description

Fresh Start Financial is looking for an experienced Debt Review Administrator to join our growing operations team.

The ideal candidate will have hands-on experience in the debt review industry, particularly with preparing and managing debt review proposals, communicating with creditors and Payment Distribution Agencies (PDAs), and managing debt-review documentation.

Experience with legal administration, court documentation, Magistrate’s Court processes, or debt-review legal procedures will be highly advantageous.

This role requires someone who is highly organised, detail-oriented, deadline-driven and comfortable working in a fast-paced environment.

Key Responsibilities

Debt Review Administration

  • Manage the administration of clients throughout the debt review process.
  • Prepare, review and submit debt review proposals to creditors.
  • Ensure proposals are accurate and aligned with client affordability.
  • Follow up with creditors regarding proposal outcomes and outstanding documentation.
  • Monitor creditor responses and ensure matters progress within required timelines.
  • Maintain accurate client records and update internal systems.
  • Liaise with PDAs and relevant stakeholders regarding client accounts and payment arrangements.
  • Assist with Form 16, Form 17.1, Form 17.2 and other relevant debt-review documentation.
  • Monitor client files for outstanding information and documentation.
  • Ensure all client documentation is properly filed and up to date.

Legal & Compliance Administration

  • Assist with preparation and management of legal documentation related to debt review.
  • Assist with matters involving Magistrate’s Court processes and debt-review applications.
  • Prepare documentation for legal representatives where required.
  • Maintain accurate records of legal correspondence and deadlines.
  • Ensure all processes are handled in accordance with company procedures and applicable regulations.
  • Escalate complex legal or compliance matters to management or the relevant legal professional.

Client & Stakeholder Communication

  • Communicate professionally with clients regarding the progress of their applications.
  • Liaise with creditors, attorneys, PDAs and other relevant stakeholders.
  • Respond to administrative queries efficiently and professionally.
  • Provide clients with accurate updates and manage expectations appropriately.

Quality Control

  • Conduct quality checks on proposals and client documentation before submission.
  • Identify missing or incorrect information before it creates delays.
  • Ensure files are compliant with internal SOPs.
  • Meet daily and weekly administration targets.
  • Maintain a high level of accuracy and confidentiality.

Minimum Requirements

  • Previous experience working in debt review/debt counselling is essential.
  • Minimum 1–2 years’ experience in a debt review administration environment.
  • Practical experience preparing and managing debt review proposals.
  • Knowledge of the debt review process and relevant documentation.
  • Strong understanding of creditor communication and proposal negotiations.
  • Excellent administrative and organisational skills.
  • Strong written and verbal communication skills.
  • Computer literate and comfortable working with multiple systems.
  • Ability to work under pressure and meet deadlines.
  • High attention to detail and accuracy.

Advantageous Experience

The following will give candidates a strong advantage:

  • Experience with legal administration.
  • Experience dealing with Magistrate’s Court documentation/processes.
  • Experience working with attorneys or legal practitioners.
  • Knowledge of the National Credit Act and debt review regulations.
  • Experience with Form 16, 17.1, 17.2 and related debt-review documentation.
  • Experience working with PDAs such as Finwise
  • Experience with debt-review management systems.
  • Previous experience in a debt counselling practice.

Key Attributes

We are looking for someone who is:

  • Extremely detail-oriented
  • Proactive and solution-driven
  • Deadline-focused
  • Professional and well-spoken
  • Comfortable dealing with creditors and legal stakeholders
  • Able to work independently
  • Able to manage a high-volume workload
  • Trustworthy and confidential
  • A strong team player
  • Willing to take ownership of their responsibilities

Performance Expectations

The successful candidate will be expected to:

  • Process proposals accurately and efficiently.
  • Keep client files fully up to date.
  • Minimise administrative errors and delays.
  • Follow up consistently on outstanding matters.
  • Meet agreed turnaround times.
  • Maintain accurate system records.
  • Escalate issues proactively rather than allowing matters to become overdue.
  • Contribute to improving the company’s debt-review administration processes.

What We Offer

  • Opportunity to join a growing debt counselling organisation.
  • Professional and performance-driven working environment.
  • Opportunity for career growth within the administration and operations department.
