ABOUT US
We at In The Lupe are a high-energy creative agency where big ideas meet bold, physical realities. Behind every great campaign is a team that runs like clockwork — and that's where you come in. We're looking for a sharp, organised Junior Administrator to keep our sourcing, procurement and the Managing Director's diary running seamlessly. This is a behind-the-scenes role, but a pivotal one: the kind of person who keeps everything moving so the rest of the team can shine.

ROLE OVERVIEW
This is a junior, non-customer-facing role at the heart of our admin team. Your two main focuses are procurement and sourcing — finding the right suppliers and products at the right price and getting orders placed and tracked — and Managing Director diary and support — keeping the MD's calendar, scheduling and day-to-day admin in perfect order. You'll work closely with the admin team and report to the Lead Administrator, learning the ropes of agency operations in a role with real room to grow. KEY RESPONSIBILITIES

Procurement & Sourcing

  • Source products, materials and services from suppliers, comparing options on price, quality and lead time.
  • Obtain and compare quotations, and maintain a reliable list of suppliers and preferred vendors.
  • Place, track and follow up on purchase orders through to delivery, keeping everyone updated on timelines.
  • Check deliveries against orders and specifications, and flag any discrepancies promptly.
  • Maintain accurate procurement records, order logs and supplier information.
  • Keep an eye on stock and consumables, reordering before things run low.

Managing Director Diary & Support

  • Manage the MD's calendar and scheduling — booking meetings, avoiding clashes, and protecting the MD's time.
  • Prepare and organise meeting logistics, agendas and any documents needed ahead of time.
  • Keep the MD's day-to-day admin organised so nothing slips through the cracks.
  • Provide proactive, discreet and reliable support that keeps the MD ahead of their commitments.

General Admin Support

  • Support the wider admin team with filing, data capturing and general office administration.
  • Help keep systems, records and workflows tidy, accurate and up to date.
  • Assist with ad-hoc administrative tasks as the team's needs shift.

CORE SKILLS & ATTRIBUTES

  • Highly organised, detail-oriented and reliable — you rarely let anything slip.
  • Proactive and resourceful, with a knack for solving small problems before they become big ones.
  • Strong written and verbal communication (internal-facing — professional and clear with suppliers and the team).
  • Good numeracy and comfort comparing quotes, prices and options.
  • Able to juggle multiple tasks, prioritise well, and stay calm under pressure.
  • Trustworthy and discreet — you'll handle a busy MD's diary and sensitive information.
  • Computer literate (email, spreadsheets, calendars); willingness to learn new systems.
  • A genuine team player who takes pride in keeping the back office running.

MINIMUM REQUIREMENTS

  • Matric (Grade 12).
  • 1–2 years' administrative, procurement or office-support experience (relevant internships or strong entry-level experience considered).
  • Clear criminal record.
  • Familiarity with spreadsheets and calendar/email tools.

NICE TO HAVE (NOT ESSENTIAL)

  • Experience with procurement, ordering or supplier coordination.
  • Exposure to accounting/CRM tools such as Xero or Zoho.
  • A relevant certificate or diploma in business administration, office management or similar.
