Administrator
Minimum Requirements
- MUST have proven tyre industry knowledge, including passenger, truck/commercial, and/or OTR (Off-the-Road) tyres. Applicants without relevant tyre knowledge will not be considered.
- Minimum of 4 years' proven administration experience. Applications with less than 4 years' experience will not be considered.
- Proficient in Asana, Trello, or ClickUp for task and workflow management.
- Valid driver's licence and own reliable vehicle.
- Strong computer literacy, including Microsoft Excel, Word, Outlook, Google Sheets and PDF management.
- Excellent organisational skills with a high level of attention to detail.
- Ability to work under pressure and manage multiple priorities in a fast-paced environment.
Duties and Responsibilities
- Process purchase orders and all related documentation accurately and timeously.
- Prepare quotations, invoices, and supporting documentation using accounting or billing systems.
- Reconcile supplier and customer accounts and resolve account queries promptly.
- Capture, verify, and maintain accurate fleet and administrative records.
- Populate and manage delivery notes and ensure supporting documentation is complete.
- Implement and maintain an organised electronic and physical filing system.
- Provide general administrative support to management and operational teams.
- Handle customer and supplier queries professionally and efficiently.
- Maintain confidentiality of company and client information.
- Monitor outstanding documentation and follow up with relevant stakeholders.
- Coordinate communication between workshop staff, suppliers, drivers, and management.
- Perform any other administrative duties assigned by management.
- Update and track vehicle information, registrations, licensing, inspections, and compliance documentation.
- Monitor vehicle service schedules, preventative maintenance, and repair records.
- Track tyre fitments, tyre movements, tyre inspections, repairs, replacements, tread depth records, and tyre performance.
- Track breakdowns, repairs, and vehicle downtime.
- Ensure all fleet documentation is accurate, complete, and audit-ready.
- Coordinate with workshops, suppliers, and fleet managers to ensure timely servicing, tyre fitments, and repairs.
- Ensure all fleet data is captured accurately and updated in internal systems.
