All-Round Marketing Coordinator - Website & Marketing Coordination
Position Summary:
The All-Round Marketing Coordinator supports the coordination and execution of marketing activities across the company’s beach resorts, safari lodges, tours, excursions and tour operator brands.
The position is based at either the Johannesburg office in South Africa or the Breda office in the Netherlands, working closely with creatives across the company’s three offices located at:
- Johannesburg, South Africa
- Breda, the Netherlands
- Zanzibar, Tanzania
The successful candidate’s primary responsibility will be focusing on the company website during the first 3 months. As the company is opening and developing several new properties, a significant number of new pages, updates and structural website changes are required.
The Marketing Coordinator will coordinate the complete website-update process: collecting information, organising tasks, following up with the relevant specialists, uploading approved materials, checking pages and ensuring that updates are completed accurately and on time.
Once the website is fully up to date and the main development backlog has been completed, the position will gradually develop into a broader all-round marketing support role.
Main Objective for the First Year
The main objective is to ensure that the company website accurately and professionally represents all existing and newly opened properties, products and experiences.
The Marketing Coordinator will act as the central coordinator for website updates. He/She will bring together information and deliverables from Operations, Sales, Reservations, Copywriting, Graphic Design, Content, Social Media and SEO.
The Marketing Coordinator works alongside the specialists already responsible for these areas and ensures that their work is properly coordinated, implemented, checked and published.
Key Responsibilities
1. Website Management and Updates
- Maintain and update the company website through the relevant content management system.
- Create and update properties, accommodation, rooms, restaurant, excursion, safari, package and destination pages using approved templates and layouts.
- Coordinate website requirements for new property openings and product launches.
- Ensure that all website information is complete, current and factually correct.
- Upload and format approved copy, images, videos, documents and other website content.
- Add or update room types, facilities, inclusions, activities, contact information, policies, booking links and location details.
- Check that all pages are displayed correctly on desktop, tablet and mobile devices.
- Regularly test buttons, links, forms, navigation and booking journeys.
- Identify outdated information, missing content, broken links and inconsistencies.
- Maintain an organised website backlog identifying pages that need to be created, updated, reviewed or approved.
- Perform final quality checks before and after website changes are published.
- Report technical problems to the appropriate web developer and follow up until they are resolved together with the marketing manager.
- Maintain an overview of planned website launches, dependencies, approvals and deadlines.
2. New Accommodation Website Coordination
For every new property or major product launch, the Marketing Coordinator will:
- Create a complete checklist of the information and materials required for the website.
- Collect confirmed information from Operations, and Product management.
- Request a copy from the Copywriter using a clear and complete brief.
- Request visual materials and website assets from the Content and Graphic Design teams.
- Coordinate SEO requirements with the SEO and Paid Ads Specialist.
- Follow up on missing information, approvals and overdue deliverables.
- Upload and or coordinate the implementation of approved content.
- Check the complete customer journey before launch.
- Confirm that the page is accurate, complete and ready for publication.
- Conduct a final live-page check after publication.
- Record future updates or unresolved items in Asana.
3. Asana and Task Follow-Up
The Marketing Coordinator is responsible for maintaining visibility and structure in Asana. Individual team members remain responsible for completing the tasks assigned to them, creating a consistent and transparent follow-up system within the Marketing Department.
Responsibilities include:
- Use Asana as the central system for marketing tasks, website updates and project follow-up.
- Ensure that agreed tasks are entered into Asana with a clear description, responsible person, deadline and priority.
- Update the status of website and marketing projects consistently.
- Record relevant action points arising from daily marketing meetings.
- Follow up with team members on deadlines, missing input and outstanding approvals.
- Clearly identify dependencies and blockers that may delay website updates or launches.
- Escalate unresolved delays or priority conflicts to the Marketing Manager.
- Keep project boards, task lists and website trackers organised and current.
- Prepare concise progress overviews when requested.
- Help ensure that completed tasks are properly checked and closed.
4. Marketing Meetings
- Attend the Marketing Department meetings.
- Provide a clear update on current website priorities, progress and deadlines.
- Communicate which information or deliverables are still required.
- Flag blockers, delays or decisions that require management attention.
- Record relevant new tasks and action points in Asana.
- Confirm task ownership and deadlines after the meeting.
- Follow up consistently on agreed actions throughout the day.
- Help the department maintain focus on its main daily and weekly objectives.
5. Collaboration with the Existing Marketing Team
The Marketing Coordinator will coordinate the team’s input when it is required for the website or another marketing project, the established specialist marketing team, includes:
- Head of Social Media
- Social Media Assistant
- Content Creator Assistant
- Senior Graphic Designer
- Junior Graphic Designer
- Copywriter
- SEO and Paid Ads Specialist
- Marketing Manager
Examples include:
- Briefing the Copywriter on the information required for a new accommodation page.
- Requesting properly formatted photographs from the Content team.
- Coordinating website banners, maps, icons or visual materials with the Graphic Design team.
- Confirming keywords, metadata and other requirements with the SEO Specialist.
- Ensuring that all final, approved materials are uploaded and published correctly.
6. Website Quality and Brand Consistency
- Ensure that website pages follow the company’s brand guidelines and approved structure.
- Check content for spelling, formatting, readability and factual accuracy.
- Confirm that images are suitable, correctly sized and appropriately placed.
- Ensure that layouts and page structures remain consistent across different properties and products.
- Coordinate the implementation of SEO recommendations provided by the SEO Specialist.
- Ensure that page titles, metadata, image descriptions and internal links are added where required.
- Check that promotional claims, rates, packages and opening information have received the necessary approval.
- Maintain clear records of completed updates and approval status.
7. Broader All-Round Marketing Support
During the first 3 months, these responsibilities will be secondary to website work. He/She will become a larger part of the role once the website backlog has been completed and stable maintenance processes are in place.
The Marketing Coordinator may support:
- Seasonal campaigns, special offers and product launches.
- Email marketing preparation and scheduling.
- Marketing presentations, brochures, fact sheets and sales materials.
- Trade shows, events, press
