Job description
The core purpose of the position is to: Always act in accordance to the Asset Management & Company Policy
- To oversee the accuracy of the overall inventory management to our internal and external customers in an accurate, efficient and pro-active manner in accordance to company policies and procedures.
- To compile and review relevant, useful and accurate reports to our internal and external customers in real time based on the data provided by the senior stock controllers.
- To ensure the accuracy of the input of records of all stock movements constantly in adherence to company policies and procedures.
- To assist the senior stock controllers with their tasks.
- To stand in for the Asset manager as and when required.
- To be the first point of contact to manage the wider Asset Management team
Key Responsibilities
Inventory Management – National (20 %)
# Defined as the region / REGIONS performance
Ensure that supervisor is available for escalation, both internal and external csutomers
Manage the inventory process as per am policy,
Drive aw clean-up and conformity
Ensure maintenance stock is sufficient and proactively manage and communicate (customer & Manager) on national level for your assigned regions / region
Ensure sufficient checks in place in regions to trap and manage exceptions for daily, weekly and monthly tasks (supervisors & seniors)
Manage & sign off monthly stock takes
Manage & sign off monthly movement reports
Manage & sign off regional & national recons (maintenance)
Manage & sign off bakkie stock checks
Manage & sign off national repairs
Manage & sign off monthly site audits completed by am & fs staff for both maintenance & project calls
Manage accuracy of the information on assetWISE and the daily task
Maintain & update Stowe am policy
Namos activations
Manage Stowe & commercial stock
Inventory Management – Regional (5 %)
# Defined as the Supervisor specific tasks, for example if a supervisor handles a specific corporate in his region
Ensure Maintenance Stock levels are sufficient
Ensure Stock Takes are completed monthly as per AM Policy
Ensure Daily movements are completed timely and accurately
Ensure Recon's are manged
Ensure Monthly Bakkie Stock takes are completed as per AW Policy, escalate to FS Supervisors then D/Head for none compliance
Ensure Faulty Stock and repair vendors are managed correctly as per AW Policy
Ensure Site Audits are captured upon receipt and AW information correct
Ensure All open stock request is communicated accurately on daily basis and update daily open call report
Ensure Stowe & Commercial stock audited monthly
Ensure Written off & Obsolete Stock is managed monthly
Projects National – 15 %
# Defined as the holistic ownership of the region / regions projects
Ensure that correct staff attends weekly Project meetings, Regions to understand the upcoming projects stock requirement and documentation to close AM deliverables
Manage Projects from AM perspective (Complete AM ownership) including Stock & Decom checklists, Escalate to Senior / Supervisor for any customer engagement required
Ensure all Stock Checklist are manged from Issuing to close off and updated on AW
Escalate any Project issue's to National Project Coordinator and ensure that Project team is aware of any impact to planned time lines
Management of staff, contractors – 15 %
1st escalations point for staff, internal, external customers & contractors
Manage daily, weekly and monthly deadlines for yourself and staff members
Ensure staff, including contractors, adhere to internal processes & policy
Ensure seniors understand and enforce internal policy and procedures
Mentor and support AM staff e**nsuring that staff have your assistance when it is required.
Drive monthly meetings with staff and ensure proactive & transparent communication (seniors - supervisors - div./h)
Ensure monthly Performance management is in place & Perform Performance appraisals as required by Company Manage contractors AM deliverables
Identify and motivate any AM requirement to div./h
Identify and manage departmental training requirement for assigned region
Ensure deductions are driven to finalization via correct internal process
Ensure stock replacements are done as per deductions
Attend weekly meeting with the Asset Manager to raise any items that require attention
Engage with the team regularly in order to provide upward feedback
Ensure that policies and procedures are adhered to
Internal process – 15%
Ensure that overtime, standby, leave is managed (seniors - supervisors - hr/ div./h) and documentation sent to the Asset Manager on time monthly
Ensure internal hand over is correct and meets the requirements of both internal & external customers
Manage monthly claims / deductions and ensure they are submitted to the correct department and on time as per respective policy
Manage leave to ensure optimal staff availability but also reduce financial risk for company
Ensure that staff comply with deadlines.
HSSE, Policy, Procures and SOP – 10 %
Identify process failures, engage with the relevant internal and or external stake holders and close off via Div. Head, Supervisor is responsible to take full ownership of any issue identified, engage with the relevant person and put the corrective steps in place
Div. H to be involved for consultation if required
Continuously drive service improvement by reviewing current Policy, Procedures and SOP
Complete relevant SOP and submit to Div. Head
Update the AM Policy and sign off via Div. Head before publishing
Ensure that you understand the health and safety policy and requirement of the company as well as the health and safety act 85 of 1993
Ensure staff have the correct training and supervision required to deliver their work in a safe way
Ensure that all dangers are identified, interaction for employee's and or visitors must be managed, and preventative measures are put in place to ensure hazards are manged and removed if possible, else employee's and or visitors must have the correct safety equipment required when entering the warehouse
Ensure access to warehouse is controlled and no unauthorized personnel enters the warehouse without the correct approval, safety equipment and supervision
Ensure that all employees and or visitors always comply with occupational health and safety act 85 of 1993 and the health and safety requirements set in place by the company
Reporting & Customer Management – 10 %
Ensure monthly manual reporting is accurate for submission to automated reporting
Ensure monthly customer report is send out accurate and on time as per assigned tasks
Attend monthly customer operational meeting
Manage internal missed SLA's, engage with the customer for missed calls, or possible missed SLA upliftment and follow the correct internal process to ensure correct close off
Customer engagement on a regular basis
Ensure open call report is accurate and send out daily
Engage regionally with FS supervisors and team leaders
Finalise format of the stock level report and ensure that all issues or queries have been resolved before sending to the Asset Manager.
Finalise the format of the consumables recon and ensure that all issues or queries have been resolved before sending to the Asset manager.
Review the minimal and optimal stock level reports and ensure that any issues or queries have been resolved. Collate critical detail and failure rates with assistance from QA. Provide updated report
To compile a recommendation report for stock levels and send to the Asset manager.
Ensure all queries or issues resulting from the movement report have been resolved.
