Job description
Position Title: Assistant Dispatcher – Generators
Reporting to: Dispatcher or Operations Supervisor
Main Purpose of the Role:
To assist the Dispatcher in coordinating, scheduling, and monitoring the movement, delivery, and return of generators to various sites, ensuring efficient operations, timely service delivery, and accurate record-keeping.
Key Roles and Responsibilities:
1. Dispatch Coordination
- Assist in scheduling generator deliveries, installations, collections, and relocations based on operational requirements.
- Ensure all dispatch instructions are clearly communicated to drivers and technicians.
- Verify that generators are assigned correctly according to site capacity and client requirements.
- Assist in route planning to optimize time, cost, and fuel efficiency.
2. Documentation and Record Keeping
- Maintain up-to-date dispatch logs, trip sheets, and job cards.
- Capture delivery, collection, and fuel records accurately on dispatch systems.
- File generator movement records, ensuring traceability of all units.
- Verify that all dispatch documentation (job cards, inspection sheets, delivery notes) is completed correctly before and after dispatch.
3. Generator and Fleet Monitoring
- Track generator movements in real-time and update the dispatcher or supervisor on progress.
- Report generator breakdowns, delays, or incidents immediately to the supervisor.
- Ensure all generators dispatched are in good condition, serviced, and have sufficient fuel levels.
- Check vehicle and trailer readiness before dispatch (roadworthy, licensed, and clean).
4. Communication and Coordination
- Communicate with site supervisors, drivers, and technicians to ensure smooth coordination of generator movements.
- Provide clients with accurate updates on generator dispatch and delivery status when required.
- Relay information from drivers to management regarding site conditions or client concerns.
5. Compliance and Safety
- Ensure all safety protocols are followed during loading, transport, and installation of generators.
- Assist in conducting pre-dispatch safety checks.
- Report any non-compliance, damage, or hazards to the dispatcher or safety officer.
6. Administrative Support
- Assist in preparing daily, weekly, and monthly generator movement reports.
- Support the dispatcher with stock counts, generator utilization reports, and fuel consumption data.
- Follow up on outstanding documents or generator returns from sites.
7. Customer Service
- Ensure professional communication with internal and external clients.
- Support in resolving minor complaints or dispatch-related issues quickly and effectively.
Skills and Competencies Required
- Strong organizational and communication skills
- Attention to detail and accuracy
- Basic technical understanding of generator operation
- Ability to work under pressure and in a fast-paced environment
- Teamwork and problem-solving ability
- Dangerous goods certificate required
- PDP with 3 years of driving experience
