Assistant Manager

We are seeking a reliable, trustworthy and detail-oriented Assistant Manager to join our fuel retail operation.

The successful candidate will work closely with the Site Manager and Owner and will play an important role in the financial control, reconciliation, staff supervision and day-to-day operation of the site.

The Assistant Manager must also be capable of taking responsibility for the management of the site whenever the Site Manager is unavailable or unable to attend work.

Key Duties & Responsibilities

Duties will include, but are not limited to:

• Completing and verifying daily cash-ups.
• Performing daily payment reconciliations.
• Reconciling cash, card and other payment methods against transactions and system records.
• Ensuring all monies received are correctly accounted for and allocated.
• Identifying cash shortages, discrepancies and variances and determining the responsible parties where applicable.
• Reconciling card transactions and investigating discrepancies.
• Investigating transactions that were declined, incomplete, incorrectly processed or not fully captured.
• Ensuring that the site receives all monies due to it.
• Reviewing cashier transactions against journals, corrections, voids and other transaction records.
• Identifying unusual transactions, shortages or irregularities and reporting these to management.
• Assisting with the monitoring and review of staff performance.
• Supporting the Site Manager with the daily management and control of the fuel station.
• Relieving the Site Manager and assuming the Manager's operational responsibilities whenever the Manager is absent, unavailable or unable to attend work.
• Supervising staff and ensuring the site continues to operate effectively in the Manager's absence.
• Assisting with stock, operational and administrative controls where required.
• Ensuring company procedures and internal controls are followed.
• Assisting management with any other reasonable duties required for the effective operation and control of the site.

Minimum Requirements

• Matric / Grade 12.
• Must have own reliable transport.
• Previous experience in fuel retail, retail management, cash control, bookkeeping, reconciliations or a similar financial/operational environment will be advantageous.
• Must be willing and able to step into the Site Manager's role when required.
• Must be flexible and willing to work occasional irregular hours, weekends and additional hours when operationally required.
• Must understand that the fuel retail industry operates outside standard office hours and be available to assist management when reasonably required.
• Strong numerical and reconciliation skills.
• Excellent attention to detail.
• Able to investigate discrepancies and identify the source of financial variances.
• Able to work accurately with large volumes of transactions and reconciliations.
• Able to work effectively under pressure.
• Trustworthy, responsible and accountable.
• Strong work ethic with high standards of honesty and integrity.
• Professional and respectful attitude towards the Owner, management, colleagues and customers.
• Willing to support management in achieving the operational requirements of the business.

Ideal Candidate

We are looking for someone who is hands-on, observant and financially disciplined. The candidate must be comfortable identifying discrepancies, asking questions when figures do not balance, following up on outstanding amounts and taking responsibility for ensuring that financial controls are properly maintained.

The successful candidate should also have the confidence and leadership ability to take charge of the site when the Site Manager is not present and understand the flexibility required when working in a fuel retail environment.

This position requires a person who understands that every transaction and every rand must be accounted for.
