Palm House Boutique Hotel & Spa is a distinctive 5 Star Cape Town boutique hotel with an outdoor lawn, indoor and outdoor restaurant areas, a fine-dining restaurant and two conference/private dining spaces. We already serve a strong conference and banqueting clientele. We are now looking for an experienced, commercially minded events professional to retain and grow that business while positioning Palm House as a sought-after venue for weddings, destination weddings, conferences, corporate events and private celebrations.

This is a hands-on, client-facing role with genuine ownership of the full-event journey - from the first enquiry, venue viewing and proposal through to event planning, on-site coordination and successful delivery. It is a rare opportunity to combine event sales, relationship management, creative planning and event operations in one boutique-hospitality position.

Your Mission

Help transform a much-loved historic gem into one of Cape Town's most talked-about boutique event venues. Build on our established client base, create new sales opportunities and help the Banqueting, Events and Conference portfolio reach its full potential.

What You Will Own

  • Manage event enquiries, client communication, venue viewings and follow-up from first contact through to confirmation.
  • Prepare tailored quotations, proposals and event documentation, working closely with the Sales Team to convert qualified enquiries into confirmed bookings.
  • Retain and grow Palm House's established banqueting and conference client base while identifying relevant venue-marketing platforms, partnerships and sales channels for weddings, destination weddings, conferences, corporate events and private functions.
  • Plan the complete event brief, including menus, layouts, timings, decor, audio-visual (AV) requirements, suppliers, contractors and special requirements.
  • Prepare accurate function sheets and Banquet Event Orders (BEOs) and communicate clear requirements to the Food & Beverage Executive and relevant operational teams.
  • Maintain an organised event calendar and sales pipeline; monitor deposits, payments, additional charges, deadlines and outstanding actions.
  • Identify appropriate upselling opportunities across accommodation, food and beverage, spa and other hotel services, while providing regular events and sales reports.
  • Be present for events as the client's dedicated contact, confirm that agreed deliverables are met and anticipate and resolve issues before they affect the guest experience.

On Event Days

You will be the client's dedicated event contact and the link between the agreed brief and the teams delivering it. The relevant Restaurant Manager remains responsible for restaurant operations, the service team and day-to-day service delivery. You will work alongside them, providing an additional layer of coordination that keeps communication clear, protects the agreed plan and gives the client confidence that the complete event experience is being looked after.

What You Will Bring

  • Relevant experience in hotel banqueting and events, ideally gained as a Banqueting & Events Coordinator, Banqueting & Events Manager or comparable events professional.
  • Experience in conference coordination, wedding planning, venue sales, private functions or upscale boutique hospitality will be advantageous.
  • Exceptional organisation, attention to detail and the ability to manage multiple events and deadlines without losing the personal touch.
  • A naturally "high energy", engaging, proactive and self-motivated approach, combined with a polished, warm and confident client presence.
  • Commercial awareness and confidence in event sales, enquiry conversion, client retention and upselling.
  • Clear written and verbal communication, with the ability to coordinate effectively across several departments.
  • A calm, practical and solutions-focused approach under pressure.
  • The independence to take ownership, balanced with the diplomacy and teamwork needed to collaborate with operational managers.
  • A hands-on mindset and willingness to step in when coordination or client support is required.
  • Confidence using email, spreadsheets, reporting tools and hospitality, event-management or customer relationship management systems.
  • Availability to work an event-led hospitality schedule, including evenings, weekends and public holidays when confirmed events require it.
