Role Overview
Join Job Duck as a Billing & Operations Executive Assistant by supporting a dynamic legal team in the Commercial & Corporate practice area. This role offers a unique opportunity to contribute to a collaborative and client-focused environment, where your attention to detail and enthusiasm will make a daily impact. You’ll assist with billing coordination, email and calendar management, onboarding clients, and supporting payroll and document drafting. The ideal candidate is a curious and independent team member who thrives in a fast-paced, professional setting. If you enjoy solving problems, working with numbers, and being part of a kind and congenial team, this role is for you.
Schedule:
Monday to Friday from 8:30 AM to 5:30 PM EST (USA)
Your Responsibilities Will Include but Are Not Limited To:
- Coordinating billing and preparing invoices
- Calculating referral fees for external attorneys
- Assisting with payroll and payment tracking
- Scheduling meetings and maintaining calendars
- Opening matters in Clio CRM
- Learning and assisting with paralegal tasks as needed
- Tracking billable hours and calculating payments
- Managing email communications
- Drafting basic legal and administrative documents
- Supporting client onboarding processes
What We’re Looking For:
- At least one years of experience in an administrative assistant role.
- Advanced/native-level English skills (both written and spoken)
- Kind, collaborative, and personable
- Independent, enthusiastic, and proactive
- Curious problem-solver
- Team-oriented and client-focused
- Strong attention to detail
- Organized
- Comfortable with numbers
- Proficient in Excel/Google Sheets
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
