Billing Specialist

The Role JOB PURPOSE

The Billing Specialist is responsible for the accurate, timeous and compliant billing of healthcare customers, ensuring that customer-specific rate cards, service agreements, proof of delivery, claims support and regulated billing requirements are correctly applied. The role serves as a specialist interface between operations, finance and customers to manage complex reconciliations, resolve billing disputes, protect revenue and maintain billing integrity in a highly regulated healthcare environment.

DUTIES & RESPONSIBILITIES

• Validate billing inputs for healthcare customers against approved rate cards, customer contracts, service schedules and billing rules.
• Ensure all invoices accurately reflect healthcare service volumes, special handling charges, storage, distribution and value-added services where applicable.
• Confirm that billing data is complete, authorised and aligned to customer-specific requirements before invoice release.
• Escalate rate, master data or contract discrepancies prior to billing to avoid revenue leakage and customer disputes.
• Prepare and complete weekly, bi-weekly and month-end billing runs for healthcare customers within agreed timelines.
• Track billing cut-off dates, statement deadlines and customer submission timelines to ensure timely invoice delivery.
• Coordinate with operations and finance to resolve blockers that may delay billing closure.
• Perform detailed reconciliations between operational data, billing schedules, customer statements and general ledger inputs.
• Investigate customer billing queries, short payments, claims and disputed charges and provide supporting evidence for resolution.
• Identify root causes of recurring disputes and recommend corrective action to prevent repeat exceptions.
• Process approved adjustments, credits or journals accurately and in line with controls.
• Maintain complete billing support packs including proof of delivery, charge substantiation, approvals and customer-specific supporting documents.
• Ensure billing activities comply with internal controls, customer requirements, GDP/GDocP standards and healthcare regulatory expectations applicable to invoicing support.
• Support internal and external audits by providing accurate billing documentation and explanations on request.
• Compile accurate billing, accrual and query reports for assigned healthcare customers.
• Analyse trends in billing errors, claims, credits, unbilled revenue and disputed amounts to identify risks and opportunities.
• Provide monthly insights and recommendations to improve billing accuracy, recover missed revenue and strengthen customer billing performance.

Skills and Experience JOB – RELATED REQUIREMENTS

Minimum Requirements (Qualifications & Experience)

• 3 - 5 years of billing, finance or revenue administration experience in a specialised operational environment (Essential)
• At least 2 years' experience in healthcare, pharmaceutical, medical distribution or regulated customer billing (Essential)
• Experience dealing with customer contracts, rate cards, reconciliations, credits and billing dispute resolution (Essential)
• Diploma or Degree in Finance, Accounting, Commerce or related field (Advantageous)

Required Knowledge

• Advanced Excel and strong billing systems knowledge
• Knowledge of billing controls, reconciliations, journal processing and revenue assurance principles
• Understanding of customer contracts, rate application logic and cost drivers within healthcare logistics
• Working knowledge of GDP, Good Documentation Practice and healthcare compliance requirements impacting billing support documentation
• Knowledge of operational billing inputs such as proof of delivery, claims support, returns, temperature-controlled handling and value-added charges
