Position: Business and Office Assistant with Procurement Support
Reporting Line Manager: CEO

To provide practical business, office, and procurement administration support to the CEO and team, ensuring that suppliers, documents, meetings, projects, events, and office operations are well coordinated.
The person must have a basic understanding of procurement and supplier management, while also being comfortable assisting with general business and office responsibilities.
Key Responsibilities:
1. Support the CEO and team with day-to-day business administration, scheduling, reminders, follow-ups, and coordination.
2. Manage office administration, including supplies, filing, meeting arrangements, visitors, couriers, service providers, and general office needs.
3. Request quotations, and follow up on invoices, delivery dates, payments, and outstanding documents.
4. Maintain supplier records, procurement files, compliance documents, client folders, and business administration
5. Support training sessions, workshops, podcasts, roundtables, and events with registers, guest lists, delegate packs, certificates, materials, and logistics.
6. Assist with basic invoice tracking, payment follow-ups, travel bookings, accommodation, and coordination with finance/admin service providers.
7. Take initiative, identify gaps, and support the business with practical execution where needed.
Procurement Knowledge Required
The candidate does not need to be a procurement specialist but must understand basic supplier coordination, quotation requests, invoice follow-ups, procurement filing, compliance documents, and tender/proposal administration.
Minimum Requirements:
- Matric.
- Certificate or Diploma in Business Administration, Office Administration, Procurement, Supply Chain, Project Administration, or related field would be an advantage.
- 2–4 years’ experience in business administration, office support, procurement support, supplier coordination, executive assistance, project administration, or events administration.
- Experience in a small business, consulting, training, procurement, or events environment would be an advantage.
- Strong computer literacy and document management skills.
