Business & Operations Assistant
Location: Stanger / KwaDukuza, KwaZulu-Natal
Job Type: Temp to Full-Time (3 Month Probabtion)
Industry: Information Technology / Business Services
About the Role
We are looking for a highly organised, commercially minded and proactive Business & Operations Assistant to work directly alongside the Director of an established technology and business services company in Stanger/KwaDukuza.
This is a hands-on and varied position covering business administration, tender administration, Xero reconciliations, customer management and, most importantly, sales and business development.
The successful candidate will effectively become the Director's right-hand person, helping manage the day-to-day administration of two businesses while actively identifying new opportunities, developing customer relationships and closing sales.
This position is suited to someone who is ambitious, confident, highly organised and capable of working under pressure in a fast-moving business environment.
Key Responsibilities
Sales & Business Development
- Identify and pursue new business opportunities.
- Generate leads and develop new customer relationships.
- Contact prospective customers by telephone, email and other channels.
- Follow up quotations and outstanding opportunities.
- Convert leads into sales and actively close deals.
- Maintain and manage a sales pipeline.
- Build strong relationships with existing customers.
- Assist with proposals, quotations and commercial presentations.
- Identify opportunities to grow revenue from existing and new clients.
Xero & Financial Administration
- Perform regular bank reconciliations using Xero.
- Capture and reconcile financial transactions.
- Assist with customer and supplier account reconciliations.
- Monitor outstanding customer invoices and payments.
- Follow up outstanding accounts.
- Assist with maintaining accurate financial records.
- Prepare information and supporting documentation for the accountant.
- Assist with general financial administration for both businesses.
Business Operations
- Provide day-to-day administrative support to the Director.
- Manage customer and supplier correspondence.
- Prepare documents, spreadsheets, quotations and reports.
- Track outstanding tasks and follow-ups.
- Assist with scheduling and coordination.
- Maintain customer and supplier records.
Requirements
- Previous experience in sales, business development, administration or office management.
- Strong computer literacy.
- Excellent written and verbal communication skills.
- Strong organisational and time-management skills.
- Good numerical ability.
- Ability to work independently and take initiative.
- Comfortable communicating with customers, suppliers and senior decision-makers.
- Strong follow-up and negotiation skills.
- Ability to work effectively under pressure and manage multiple priorities.
Advantageous Experience
- Xero experience.
- Tender or RFQ administration.
- Bookkeeping or financial administration.
- IT or technology industry experience.
- B2B sales experience.
- Experience dealing with corporate or government/municipal clients.
- Microsoft 365 / Microsoft Office experience.
- Valid driver's licence.
What We Are Looking For
The ideal candidate is not someone who needs to be told what to do at every step.
You must be comfortable picking up the phone, speaking to customers, pursuing opportunities and asking for the sale.
The role will involve working directly with the Director on IT consulting projects, technology sales, tenders, corporate clients and business operations. The ability to remain calm, organised and effective under pressure is therefore essential.
