Minimum Requirements

  • Relevant degree/diploma
  • Up to 5 years relevant experience (retail store/systems experience)
  • Experience with process mapping, data analysis, and process optimization techniques.
  • Functional Knowledge of store systems and processes
  • Experience with project management methodologies and tools to plan and execute
  • Able to understand & define the business problem/need/opportunity
  • Able to articulate functional user stories
  • Stakeholder engagement & facilitation
  • Systemic thinking & analysis and problem solving

Duties and Responsibilities

  • Providing support on all business processes escalated by IT & Support Specialists
  • Assist the business with addressing changes to the Business Process, Policies and Procedures (PPP)
  • Ensure seamless integration of WToday (workflow and task management platform) into existing business processes
  • Documenting process flows, use cases, and system requirements for WToday initiatives and projects.
  • Supporting change and facilitating the adoption of new processes and technologies.
  • Monitors the performance of WToday implementations and process improvements, providing feedback and data-driven insights to the System and Process Manager for decision-making.
  • Analyze existing processes to identify opportunities to improve efficiency, scalability, and risk mitigation.
  • Designing and implementing optimized workflows to maximize the benefits of WToday platform.

Continuous Improvement

  • To be proactive in problem identification (through process analysis) as well as in implementing improvements and enhancements to existing processes and systems.
  • Operationalise initiatives and monitor progress against agreed plans to ensure successful adoption into business-as-usual operations
  • Identify and communicate risks, impacts and issues timeously to all stakeholders
  • Work with the business to understand the business requirements and develop the Business Process, Policies and Procedures (PPP)
  • Input into the design, user acceptance testing, training and implementation of new business initiatives or changes to existing systems or processes
  • Engage with relevant stakeholders to gain consensus on scope and impact on all cross-functional areas.
  • Facilitate brainstorms/workshops with the Business.
  • Participate in solution selection and ensure the solution delivers to the business requirements.
  • Staying informed about industry trends and best practices related to WToday and business process optimization

Training and Training Material

  • Brief the support specialist on training content
  • Review training documentation and support training where required

Communication with Stakeholders

  • Integration with IT support teams, business users and suppliers to effectively resolve and manage business system and process application problems.
  • Drive process excellence by providing leadership and support to business users and key stakeholders
  • Collaborate with IT to engage with software vendors, ensuring effective support, maintenance, and delivery of system solutions.
  • Work closely with stakeholders to analyse business needs and define WToday system requirements
