Tsebo Facilities Solutions is looking for a Business Support Supervisor to coordinate and supervise business support functions within the Facilities Management environment, ensuring the efficient management of assets, workplace moves and churn activities, contractor performance, planned maintenance coordination, compliance administration, and client support services. The role is accountable for maintaining operational efficiency, service quality, governance compliance, and accurate business records while supporting continuous improvement initiatives that enhance client satisfaction and Tsebo's operational performance.

Duties & Responsibilities
Asset Management
- Maintain an accurate and auditable asset register.
- Coordinate asset acquisition, tagging, allocation, transfers, verification, and disposal processes.
- Monitor asset usage, movement, condition, and lifecycle replacement requirements.
- Coordinate periodic asset audits and verification exercises.
- Ensure maintenance, warranty, and servicing records are updated and retained.
- Monitor stock levels of office furniture and operational assets and recommend replenishment when required.
- Produce accurate management reports and asset performance insights.
Facilities Business Support
- Coordinate workplace moves, churn activities, office relocations, and workspace planning.
- Develop move schedules and implementation plans that minimize disruption to business operations.
- Maintain occupancy records, seating plans, floor layouts, and allocation registers.
- Coordinate administrative support activities relating to facilities operations.
- Support operational projects through planning, tracking, and engagement with key stakeholders.
- Ensure accurate record keeping and document management.
Contractor and Vendor Management
- Coordinate approved contractors and service providers.
- Monitor contractor compliance with contractual obligations and service standards.
- Verify attendance, work completion, and service quality.
- Track contractor performance against agreed SLAs and KPIs.
- Escalate service delivery failures and support implementation of corrective actions.
- Maintain contractor records and supporting documentation.
Planned Preventative Maintenance (PPM) Coordination
- Maintain and monitor preventative maintenance schedules.
- Coordinate maintenance activities with operational teams and service providers.
- Track completion of maintenance activities and raise exceptions where required.
- Support statutory inspections and legislative compliance requirements.
- Maintain maintenance records and compliance documentation.
Compliance, Governance and Integrated Management Systems (IMS)
- Support implementation and maintenance of the Integrated Management System.
- Maintain controlled documents, policies, procedures, and operational records.
- Assist with client audits, internal audits, and compliance inspections.
- Monitor compliance with health, safety, environmental, and quality requirements.
- Identify opportunities for operational improvement and process standardization.
Client and Stakeholder Relationship Management
- Act as a primary support contact for operational facilities queries.
- Coordinate responses to client requests and service-related issues.
- Build positive working relationships with clients, contractors, and internal stakeholders.
- Participate in operational meetings and provide business support reports and updates.
- Support client projects, events, and operational requirements as needed.
Skills and Competencies
- Facilities Management principles and practices.
- Asset lifecycle management.
- Planned Preventative Maintenance (PPM) management.
- Contract and vendor management. Service Level Agreement (SLA) monitoring.
- Occupational Health and Safety Act requirements.
- Integrated Management Systems (IMS).

Qualifications
Qualifications
- Grade 12 / National Senior Certificate.
- Diploma or Certificate in Facilities Management, Business Administration, Operations Management, Property Management, or a related field.
Experience
- Minimum 3 to 5 years' experience within Facilities Management, Business Support, Asset Management, Property Services, or a related operational environment.
- Experience coordinating workplace moves, churn projects, facilities administration, contractor management, and asset control.
- Experience working within a client-facing service environment.
