In this role, you will support the Buyer in the administration and procurement of products to ensure on-time delivery against buying milestones. You will contribute across the end-to-end product journey, from initial sourcing through to final delivery, ensuring efficient processes and accurate coordination. Working closely with the buying team, you will help maintain a balanced and commercially viable product offering that meets customer expectations while supporting business targets. Strong organisational skills, attention to detail, and the ability to manage multiple deadlines are essential for success in this fast-paced environment
Minimum Requirements
- Relevant tertiary qualification
- Minimum 2 years relevant admin experience in a retail/clothing environment
- Previous Home buying experience (advantageous)
- Computer literate and proficient in Microsoft Office (intermediate level)
- Proficient in PLM and RMS systems for product management (advantageous)
- Knowledge of procurement processes and administration in a retail environment
- Understanding of PLM software and RMS systems for product management
- Familiarity with sample management processes from Lab Dips/Strike-Offs to Production
- Awareness of product review preparation and presentation techniques
- Knowledge of creating and completing select sets for instore shoots and product solutions based on instructions
- Understanding of stakeholder engagement and communication within a retail organization
- Familiarity with price change documentation and executing changes in RMS system
Duties and Responsibilities
- Administration
- Ensure that PLM is kept up to date with all required information (includes picture loading against color ways, correct picture loaded on style page, loading packaging) and at an acceptable level of completeness.
- Integrate items from PLM to RMS and notify Sourcing Specialist or SPA
- Ensure photographs and product detail is loaded into PLM for approved bodies
- Create and complete select sets for instore shoot and amend product solution based on instructions out of weekly Quad meeting.
- Communicate with E-comm, Marketing and Selling on any product lates, earlies and substitutions.
- Prepare price change documentation for manager approval. Action execute date, cost and selling price changes in RMS.
- Assist Buyer with preparation for weekly trade. Share item report with team and ensure room is set up for trade meeting.
- Support with arrangements to conduct store visits and coordinate communication with store teams regarding model stores and road shows. Prepare the product for time period it is used for model stores and road shows.
- Action price change on RMS, once Central Planning inform Buying Team of price changes
- Communicate and liaise with processor if any additional processing is required.
- Support with instore process and help prepare sample rails with Buying, aligned to assortment plan by store grade.
- Review Preparation
- Liaise with the Sourcing & Production Assistant to ensure garments are available for all reviews prepare reference samples for reviews
- Prepare flow boards and Presentation Boards from Buying (applicable for F and A)
- Prepare flow boards and Presentation Boards from Buying and Design (Menswear and Womenswear)
- Set up room for review, ensure it is neat and tidy, labelling months and store grades, assisting to grid product for review and prepare minute.
- Sample Management
- Organising and storing of all stages of samples from Lab Dips/ Strike-Offs to Production.
- Collaborate with TPD, Buying and Sourcing Specialists on all sample approvals including Lab Dips/ Strike-Offs from Suppliers and sign-off samples
- Ensure samples are available for fit reviews
- Coordinate with Marketing co-ordinator for marketing and in-store sample deadlines (applicable for Menswear and Womenswear)
- Coordinate all samples, range plans and select sets with Marketing and Visual Marketing. (applicable for F & A only)
- Collaborate with online team to deliver samples for Online according to requirement
- Manage sample rails to show stage of product development(concept, pre-production/production samples
- Organise sample rails for weekly trade, post seasonal, in-store shoots and sample shop
- To utilise the production & shipment status, supplier communication and trade actions to inform trade feedback.
