Chief of Staff

We're a content agency (Shot Social) working with creators and entrepreneurs across podcasts, short-form video, and social strategy. We're early stage and growing fast, and we need someone to be my right hand - someone who takes my to-do list and makes it theirs.

This isn't a traditional PA role. It's more like being a Chief of Staff to the founder. You'll own systems, build processes, and think strategically about how we scale. You'll wear multiple hats and get comfortable with ambiguity, but there's serious room to grow as the agency grows.

What you'll actually be doing:

Hiring & Recruitment

• Actively source talent across all roles (editors, social media managers, designers, developers)
• Post job ads on Indeed, LinkedIn, Twitter, Instagram, and other platforms
• Reach out cold to potential contractors on Instagram and other channels
• Build and manage our contractor pipeline - know who's available, who's good, who we want to work with
• Coordinate interviews and onboarding

CRM & Client Management

• Own our CRM completely - track every client, every contract, every deal
• Handle full client onboarding - kickoff calls, getting contracts signed, setting up access and documentation
• Create mind maps and strategy docs so our team understands how clients fit together
• Flag opportunities and spikes in work so we can plan ahead
• Sit in on client calls with me and follow up on action items
• Manage email on behalf of the agency (you'll have templates and guidelines)

Operations & Finance

• Track invoices and make sure contractors get paid on time
• Manage payroll logistics
• Track contracts and important documents
• Handle general admin and operations - whatever needs doing
• Create systems so nothing falls through the cracks

What we're looking for:

• 2-3 years in an agency, operations, or startup environment - you've seen how things work at scale
• Strong grasp of social and content - you don't need to be a creator, but you need to "get it". You should understand why short-form content works, what makes a good hook, how podcasts fit into a creator's business
• CEO/founder mindset - you think like a business owner, not an employee. You see problems and solve them without being asked. You're resourceful and comfortable figuring things out
• Comfortable with client communication - you'll be running onboarding calls and representing Shot Social. You need to be professional but warm
• Organized and detail-oriented - invoices matter, contracts matter, timelines matter. You don't let things slip
• Comfortable with ambiguity - we're early stage. There won't always be a process for everything. You'll create the processes
• Based in South Africa (remote)

Pay: R297 977,94 - R317 843,14 per year
