Position Overview
We are seeking a Client Administration Executive to join our Client Services team.
This is a highly administrative and process-driven role, designed to ensure that our client projects run smoothly behind the scenes. Working closely with our Account Management, Media, Creative, and Content teams, you will take ownership of the operational backbone of our campaigns - from financial administration and process compliance to project quality assurance and systems management.
The ideal candidate is proactive, highly organised, curious, and thrives on detail. You will play a critical role in ensuring due diligence, strict adherence to QA processes, and seamless coordination across multiple stakeholders.
Key Responsibilities
Process & Quality Assurance
- Uphold and enforce agency processes to ensure consistency, accuracy, and compliance across all client projects.
- Implement quality assurance checks at key project stages to safeguard output before client delivery.
- Identify areas for process improvement and proactively suggest solutions.
Project Administration
- Track progress of client campaigns against media and creative plans, flagging risks or delays early.
- Input, update, and manage tasks in Chase (our MIS) across Media, Creative, Content, and Strategy workflows.
- Collate and maintain accurate media specifications in line with booked formats.
- Coordinate team meetings, including booking logistics and follow-up actions.
Financial Administration
- Raise monthly Hunterlodge invoices and ensure accuracy across POs and billing.
- Track campaign costs, monitor budgets, and support financial reconciliations.
- Liaise with Finance and Account Management to resolve discrepancies quickly.
Systems & Reporting
- Become a super-user of Chase, helping to drive efficiency and insight across teams.
- Maintain status and contact reports to ensure the Client Services team is always aligned.
- Support reporting cycles by ensuring data accuracy, quality campaign reports and consistency before client presentations.
Requirements & Characteristics
Skills & Experience
- 2–4 years of experience in a project coordination, administrative, or client support role (ideally within a media, marketing, or creative agency).
- Strong project management skills with proven ability to handle multiple tasks simultaneously.
- Excellent organisational and time management skills, with high attention to detail.
- Confident user of Microsoft Office Suite (Excel, PowerPoint, Outlook) and project management systems.
- Experience with financial admin and budget tracking highly desirable.
