Ignition Systems provides AI-powered intake and sales automation for high-volume law firms, helping them convert more leads without adding headcount. We unify every inbound channel:

phone, SMS, WhatsApp, chat, email, and social, into a single AI Intake Agent that responds in seconds, qualifies leads, and books consultations 24/7 into the firm's CRM.

Firms using Ignition Systems have significantly increased consultations while shrinking their intake teams.

We're a small, fast-moving team with marquee law firm clients across the US and Canada, growing quickly. This is our first dedicated operations hire, you'll work directly with the founder and own the systems that keep clients winning.

The role

You will own client implementation and day-to-day operations end to end, so the founder can focus on growth. Concretely, that means:

• Build and launch client systems in GoHighLevel.

Sub-account setup, pipelines, calendars, chat widgets, contact forms, auto-booking flows, phone/SMS/WhatsApp numbers, and Google Business Profile integration, from signed contract to live system in under a week.

• Configure and launch pilot campaigns.

Load client lead lists, customize the AI agent's prompts and qualification logic to each firm (branding, disqualifiers, languages, booking rules), send test links, and launch reactivation campaigns.

• Keep client systems wired into our AI automation layer.

Our results come from more than standard GHL workflows, a separate lead-scoring layer sits behind client accounts. You'll maintain the webhooks and handoffs between GHL and that layer, and over time help build in it.

• Quality-check AI conversations daily.

Review live SMS/WhatsApp threads across client accounts, catch errors or off-brand responses before clients do, and refine prompts and workflows based on what you see.

• Own client reporting.

Produce accurate weekly performance reports for managed clients and monthly summaries for starter-tier clients, on time, without being chased.

• Handle client requests.

Field change requests and support questions through client WhatsApp channels and email, resolving routine items yourself within 24 hours and escalating only what genuinely needs the founder.

What success looks like in 90 days

• A new client goes from signed to fully live in 5 business days without founder involvement
• Every pilot launches clean, zero configuration errors reaching a client's leads
• Weekly and monthly client reports ship on schedule, founder-free
• Routine client change requests are turned around within 24 hours

Requirements

• 2+ years hands-on GoHighLevel experience,

you have personally built sub-accounts, workflows, automations, pipelines, and calendars (agency or SaaS-implementation background ideal). This is a must-have; please don't apply without it.

• Excellent written English: you'll write client-facing messages and reports daily and explain technical things in plain language.
• Meticulous attention to detail: a wrong firm name in an automated message is a fired vendor in our world. You test everything twice.
• Comfortable working US East Coast hours (with reliable power and internet for those hours).
• Self-managing: you'll have real ownership from day one, a founder who's often in sales calls, and no one checking your work but you.

Nice to have

• Experience supporting US clients, law firms, or professional services
• Twilio / LC Phone, A2P registration, and WhatsApp Business setup experience
• n8n experience (or Make/Zapier plus comfort with webhooks and APIs), our automations extend beyond GHL into other layers, and hands-on self hosted server skills will move you to the top of the pile
• Familiarity with AI/LLM prompt writing, our intake agents and lead scoring run on it, and you'll be tuning them

• Full-time, remote (South Africa preferred), long-term role
• Working hours aligned to US Eastern Time

• Reports directly to the founder; as we grow, this role grows into leading client operations
