Job description
Role Summary
The Client Relations Officer (CRO) is the first point of contact for clients, members, prospective clients and visitors at Buzworx. This full-time position combines professional front-desk management, client relationship management, sales support, office coordination, facilities oversight and comprehensive administrative support.
The role requires an exceptionally organised and digitally capable administrator who can work efficiently across multiple administrative workstreams and assigned projects. The allocation of duties will be guided by operational priorities. The successful candidate must therefore be able to shift seamlessly between client-facing responsibilities and focused administrative work without compromising accuracy, service quality or deadlines.
The CRO plays a central role in keeping the branch organised, responsive and operationally efficient while providing dependable administrative support where it is most needed.
Administration and Business Support
- Provide comprehensive administrative support to management and the broader team.
- Manage multiple administrative workstreams, recurring tasks and assigned projects.
- Prioritise administrative responsibilities according to operational requirements and management instructions.
- Use quieter operational periods productively to complete allocated administrative work.
- Draft, format and review professional emails, letters, reports, presentations, notices and other business documents.
- Capture, process and maintain information accurately across spreadsheets, registers, documents and cloud-based systems.
- Prepare reports, summaries, schedules and supporting documentation for management.
- Conduct online research, gather information and present findings in a clear and practical format.
- Maintain structured electronic and physical filing systems.
- Track deadlines, outstanding information, approvals and action items through to completion.
- Manage calendars, appointments, meeting arrangements and administrative reminders when required.
- Take meeting notes and prepare clear action lists.
- Review documents and records for completeness, accuracy and consistency.
- Work efficiently across several systems and applications while maintaining a high standard of accuracy.
- Identify administrative or system-related problems, investigate the cause and implement practical solutions where appropriate.
- Learn and adapt to new software, systems and processes quickly.
- Maintain strict confidentiality when handling client, employee, financial or business information.
- Assist with administrative responsibilities and business-related projects as allocated by management.
Computer and Systems Proficiency
The successful candidate must demonstrate:
- Excellent computer literacy and the ability to work quickly and accurately on digital platforms.
- Strong working knowledge of Microsoft Word, Excel, Outlook and PowerPoint.
- Confidence in creating and formatting professional documents, reports, spreadsheets and presentations.
- Strong Microsoft Excel skills, including data capturing, formulas, sorting, filtering and maintaining structured records.
- Efficient email, calendar, electronic filing and document-management skills.
- Experience working with Microsoft Teams, OneDrive, SharePoint or similar cloud-based platforms.
- The ability to learn unfamiliar programs and systems with minimal supervision.
- Strong typing, data-capturing and digital file-management abilities.
- The ability to troubleshoot routine computer, printer, connectivity and system-related problems.
- Confidence working across multiple applications and administrative tasks simultaneously.
Problem-Solving and Initiative
- Assess problems calmly and identify practical solutions.
- Resolve routine client, administrative, facilities and system-related issues independently.
- Investigate discrepancies or incomplete information before escalating the matter.
- Exercise sound judgement and know when management involvement is required.
- Anticipate administrative and operational requirements instead of waiting for repeated instructions.
- Reprioritise work effectively when urgent operational needs arise.
- Follow tasks and problems through to resolution.
- Recommend improvements to systems, processes and administrative workflows.
Additional Requirements
- 3-5 years of experience in a strong administrative, office coordination, reception or client-facing position.
- Proven ability to manage a substantial and varied administrative workload.
- Advanced proficiency in Microsoft Office applications, particularly Word, Excel, Outlook and PowerPoint.
- Excellent computer efficiency, typing accuracy and digital file-management skills.
- Exceptional organisational, prioritisation and time-management abilities.
- Strong analytical, numerical and problem-solving skills.
- High attention to detail and a commitment to administrative accuracy.
- Ability to work independently and complete tasks without continuous supervision.
- Ability to move efficiently between focused administrative work and operational responsibilities.
- Ability to manage interruptions, changing priorities and multiple deadlines.
- Strong written and verbal communication skills.
- A proactive, resourceful and solutions-focused approach.
Ideal Candidate
The ideal candidate is an administrative powerhouse who is highly organised, computer-efficient and exceptionally resourceful. They must be comfortable managing detailed administrative work independently while remaining ready to respond when client-facing or operational support is required.
This position is suited to someone who uses their time productively, learns systems quickly, notices what needs attention and finds practical solutions. The successful candidate will take ownership of responsibilities, work accurately without constant supervision and follow every task through to completion.
Please note: This is a full-time, office-based position. The successful candidate will be required to work from 8:00 am to 5:00 pm, Monday to Friday.
