About the Role
Reporting into the Accounts Receivable (AR) department, the Collection Administrator plays a critical role in managing and maintaining the company's cash flow by ensuring timely collection of outstanding debt. You will liaise closely with clients and internal teams to resolve queries, reduce debtor days, and uphold financial controls.
Key Responsibilities
- Monitor and manage the AR ledger, ensuring all outstanding accounts are followed up timeously
- Proactively contact clients via phone and email to collect overdue payments
- Reconcile client accounts and resolve billing discrepancies in a timely manner
- Process and allocate incoming payments accurately to the correct accounts
- Prepare regular debtor reports and ageing analysis for management review
- Escalate high-risk accounts and recommend accounts for handover where necessary
- Build and maintain strong relationships with clients to facilitate smooth collections
- Collaborate with the Sales and Finance teams to resolve account queries
- Ensure compliance with company credit policy and collection procedures
Minimum Requirements
- 3–5 years' experience in a collections or accounts receivable role
- Relevant diploma or degree in Finance, Accounting, or a related field
Software & Systems
- Proficiency in SAP or Sage Evolution/Sage 300 (essential)
- Working knowledge of Microsoft Dynamics 365 or similar ERP system (advantageous)
- Advanced Microsoft Excel skills — pivot tables, VLOOKUP/XLOOKUP, ageing reports, and data reconciliation
- Experience with Microsoft Outlook and the broader Microsoft 365 suite for professional correspondence and reporting
- Familiarity with CRM systems for tracking client interactions and collection activity (e.g. Salesforce or HubSpot advantageous)
Skills & Competencies
- Strong understanding of AR processes, credit control principles, and debtor management
- Excellent verbal and written communication skills — able to engage confidently with clients at all levels
- High attention to detail with strong numerical and analytical ability
- Proven ability to meet monthly collection targets and manage a high-volume ledger
- Strong problem-solving skills with the ability to resolve disputes efficiently
- Ability to work independently and under pressure in a fast-paced environment
- Sound time management and organisational skills
- A professional, assertive, yet client-friendly approach to collections
