Role: Community Coordinator
Location: Workshop17 32 Kloof Street
Benefits: Medical aid & Provident Fund contribution
Remuneration: R16,000.00 - R18,000.00 (Basic)
Job brief The Community Coordinator is the face and ambassador of the location, responsible for delivering an exceptional member and guest experience while supporting the efficient day-to-day operation of Workshop17 32Kloof.
This role combines outstanding customer service with community engagement, facilities coordination, financial administration, business development support and events assistance. The Community Coordinator acts as a primary point of contact for members, guests and visitors, ensuring that every interaction reflects Workshop17’s commitment to hospitality, professionalism and community.
Working closely with the Location Manager and wider operations team, the Community Coordinator plays a vital role in creating a welcoming, well-managed workspace where members can thrive, and visitors receive a consistent five-star experience.
General Scope of Work Community Management
- Assist the Location Manager with daily community management, including walkthroughs/space checks, reception duties, parking requests and general operational support.
- Ensure the credit card sheet is up to date and balanced.
- Use the My.W17 platform to ensure organisation profiles are up to date and regularly connect with members to gather and capture feedback.
- Ensure the fit-out and layout of the location stays beautiful, in good condition and attuned to member needs.
- Assist with managing contractors on site and maintenance work throughout the site.
Facilities & Space Management
- Conduct regular maintenance walkthroughs, identifying cleaning and maintenance requirements and communicating to the relevant departments.
- Assist with managing Facilities projects, including communication and updates to our members.
Business Development & Member Experience
- Collect insightful event & member information and input into CRM/My.W17 Platform.
- Support lead generation and ensure leads are placed on the CRM system and kept up to date.
- Respond to all community and event requests in a timely and professional manner.
- Contribute to and utilise relevant Zulip channels to share knowledge and build business intelligence and services per location.
Financial Management
- Raise location POs and invoices.
- Assist with monthly invoice preparation and raising ad-hoc invoices when necessary.
- Follow finance processes, including reimbursements and supplier payments.
- Assist with debt recovery.
Event Support
- When necessary, support eventing with the booking process, scheduling on the platform and communication with clients.
- Assist the event team where necessary with on-site event support.
- Assist with parking arrangements and communication with clients.
Team Support
- Provide general support to the location team and assist all departments when necessary.
Essential Minimum Qualifications & Experience
- Diploma or Degree in Hospitality Management, Business Administration or a related field is preferred.
- 2–4 years' experience in community management, office administration, hospitality, reservations or a similar client-facing operational role.
- Experience managing facilities coordination, maintenance requests and building presentation.
- Experience with financial administration, including purchase orders, invoicing and debtor support.
- Experience working with CRM platforms and customer management systems.
- Demonstrated experience supporting business development activities.
- Proven ability to deliver exceptional customer service.
- Experience acting as second-in-charge or supporting operational leadership.
Advantageous
- Experience within flexible workspaces, coworking environments or hospitality.
- Experience using Google Workspace.
- Experience using My.W17, Salto, Papercut or similar operational systems.
- Basic AV and IT troubleshooting experience.
