Compliance & Health & Safety Coordination
Location: Cape Town or Durban, South Africa

About the Role:
We are seeking a highly organised and proactive Compliance & Health & Safety Coordinator to support the day-to-day statutory compliance and health & safety requirements across the HAUS residential property portfolio.
The role will focus on coordinating inspections, maintaining accurate compliance documentation, tracking remedial actions, liaising with contractors and ensuring effective communication with Property Managers (PMs) and Assistant Property Managers (APMs).
The ideal candidate will have strong administrative and coordination skills, excellent attention to detail and the ability to manage multiple compliance activities, deadlines and stakeholders effectively.
Key ResponsibilitiesCompliance & Inspection Coordination
- Manage recurring statutory compliance events for assigned buildings.
- Arrange service visits and inspections with contractors and relevant suppliers.
- Obtain inspection and service reports and ensure documentation is uploaded accurately.
- Update relevant compliance requests, trackers and systems following inspections and service visits.
- Monitor upcoming and overdue compliance activities and ensure appropriate follow-up.
- Review inspection outputs, identify significant findings and ensure responsible parties understand the required next steps.
HSFRA Coordination
- Coordinate Health & Safety Fire Risk Assessment (HSFRA) activities across the assigned portfolio.
- Arrange assessment bookings and gather required pre-check information.
- Coordinate access arrangements with contractors, residents, site teams and property teams.
- Ensure HSFRA reports are received, reviewed and appropriately recorded.
- Identify required actions and monitor progress.
- Escalate high-priority or significant risks promptly.
Compliance Systems & Records
- Maintain accurate compliance information within Zoho and other relevant systems.
- Maintain Golden Thread records and supporting evidence where applicable.
- Ensure certificates, reports, evidence trails and renewal dates are current.
- Maintain organised and accurate compliance trackers.
- Ensure the current compliance position of each assigned property is clearly visible and reliable.
Remedial Works & Contractor Coordination
- Obtain quotations for required remedial works.
- Provide relevant information to Property Managers for review and approval.
- Track approved remedial works through to completion.
- Obtain and upload completion evidence.
- Coordinate contractor access with residents, site teams and property teams.
- Follow up with contractors and suppliers regarding outstanding works, reports and documentation.
ICO & Certification Management
- Coordinate ICO registration and certification management.
- Maintain accurate records of registrations, certificates and renewal dates.
- Monitor upcoming renewals and ensure required actions are completed on time.
Engineering Insurance & Property Support
- Assist with engineering insurance reports and related remedial works.
- Follow up on missing asset information and documentation.
- Liaise with suppliers and property teams to resolve outstanding queries.
- Support PMs and APMs with compliance-related information and follow-ups.
Health & Safety Support
- Provide general health and safety coordination support to operational teams.
- Assist PM and APM teams with compliance-related queries and actions under management guidance.
- Ensure relevant health and safety documentation and actions are appropriately recorded and followed up.
Meetings & Reporting
- Attend regular meetings with relevant teams to discuss:
- Portfolio compliance.
- Overdue inspections.
- Outstanding remedial actions.
- High-priority risks.
- Operational blockers.
- Upcoming compliance activity.
- Prepare and maintain monthly portfolio compliance updates.
- Provide clear updates on outstanding actions and areas requiring escalation.
Core Deliverables
The successful candidate will be responsible for maintaining:
- Current compliance systems and trackers for the assigned portfolio.
- Accurate and timely uploaded reports and evidence records.
- HSFRA action summaries and high-risk escalation notes.
- Remedial quotations and completion evidence tracking.
- Accurate inspection and renewal schedules.
- Monthly portfolio compliance updates.
- Clear records of outstanding actions and responsible parties.
Experience & Knowledge
Essential:
- Strong administration and coordination experience.
- Excellent organisational and record-keeping skills.
- Ability to manage multiple tasks, deadlines and priorities.
- Strong attention to detail.
- Good written and verbal communication skills.
- Strong follow-up and task management abilities.
- Comfortable working with spreadsheets, databases and online systems.
- Ability to work independently and maintain productivity in a remote environment.
Desirable:
- Experience in property management, residential property, compliance, health & safety or facilities management.
- Experience coordinating contractors or suppliers.
- Experience arranging inspections or servicing.
- Exposure to statutory compliance requirements.
- Experience with compliance management systems such as Zoho.
- Familiarity with Golden Thread documentation.
- Exposure to HSFRA/fire safety processes.
- Previous experience working with Property Managers or Assistant Property Managers.
