Job description

Clarivon Consulting is looking for a highly organized, detail oriented Consulting Operations & Delivery Coordinator to help keep client engagements, internal operations, and content execution moving.

Clarivon is a growing data, analytics, AI, and strategy consulting business that helps organizations turn fragmented data into better decisions and measurable results.

This role sits at the center of client delivery and company operations. You will help translate meetings and conversations into action, keep projects organized, follow up on outstanding items, maintain documentation, support content creation, and make sure deadlines and commitments do not fall through the cracks.

This is a part time contractor role to start, with the potential to grow in hours and responsibility as Clarivon grows.

Hours: 10 to 15 per week initially
Location: Remote
Structure: Independent contractor

What you will do

Project coordination

  • Maintain project timelines, task lists, milestones, deadlines, and follow ups across multiple client engagements
  • Turn meetings into clear action items, owners, and next steps
  • Track outstanding client requests, dependencies, and deliverables
  • Follow up internally and externally when information or decisions are needed
  • Flag risks, missed deadlines, unresolved questions, and loose ends before they become problems
  • Keep project status information accurate and current
  • Help prepare agendas and materials before client meetings
  • Maintain organized records of project decisions, updates, and next steps

Client delivery support

  • Maintain deliverable checklists and ensure required materials are ready before client delivery
  • Review documents, presentations, spreadsheets, and client materials for basic formatting, consistency, completeness, and obvious errors
  • Maintain version control so the correct files are being used and shared
  • Organize client files and folders using consistent structures and naming conventions
  • Coordinate the collection of files, data, approvals, and other inputs from clients
  • Help maintain Clarivon's client portal and keep project information current

Social media and content coordination

  • Help organize and maintain Clarivon's social media and content calendar
  • Turn ideas, notes, meetings, podcast clips, client insights, and long form content into draft social media posts
  • Draft and organize LinkedIn posts, captions, short form content, and promotional copy using Clarivon's voice and positioning
  • Use AI tools to help generate first drafts, repurpose existing content, and develop content variations
  • Coordinate content across Clarivon, the Humans Meet Tech podcast, events, speaking engagements, and other business initiatives
  • Organize content ideas, drafts, approvals, assets, and publishing schedules
  • Repurpose one piece of content into multiple formats, such as turning a podcast episode into LinkedIn posts, quotes, clips, and short summaries
  • Help identify useful content themes and recurring topics based on client work, industry trends, conversations, and business priorities
  • Prepare and organize images, video clips, captions, links, and other assets for publishing
  • Maintain a content library so existing ideas and assets can be easily reused
  • Track basic content performance and help identify which topics and formats are resonating
  • Support light community management and organization of comments, messages, and engagement opportunities where appropriate

You do not need to be a professional social media strategist, but you should be comfortable taking a rough idea and turning it into organized, usable content.

Operations

  • Help document recurring processes and turn them into SOPs, templates, and checklists
  • Maintain organized Google Drive folders, documents, and internal resources
  • Support CRM updates and business development administration
  • Help prepare proposals, contracts, onboarding materials, and other business documents
  • Track invoicing triggers and help ensure invoices and follow ups happen when expected
  • Coordinate work involving contractors, interns, and other collaborators
  • Conduct online research and organize findings clearly
  • Maintain spreadsheets and assist with basic reporting and data organization

Executive support

This is not primarily a traditional executive assistant position, but some administrative support will be part of the role. This may include:

  • Scheduling and calendar coordination
  • Meeting preparation
  • Organizing priorities and follow ups
  • Researching vendors, tools, events, leads, or business opportunities
  • Helping keep the founder organized across client delivery, business development, content, and company operations

What we are looking for

You should be someone who naturally notices when something is missing, unclear, late, inconsistent, or unfinished.

Strong candidates will have:

  • Exceptional attention to detail
  • Strong follow through without needing constant reminders
  • Good judgment about when to handle something independently and when to ask
  • Ability to manage multiple projects and priorities at the same time
  • Confidence communicating professionally with clients and team members
  • Comfort working independently in a remote environment

You do not need to know how to code, but you must be keen on using or learning how to use the latest AI tools to enhance your work.

Requirements

  • Attention to detail
  • Sustained focus on repetitive tasks
  • Ability to structure ambiguity
  • Ownership and follow through
  • Prioritization and judgment
  • Clear communication
  • Resourcefulness and adaptability

How we work

Clarivon is a small and growing consulting business, so this role requires flexibility.

You will often receive an objective rather than a detailed set of instructions. You should be comfortable figuring out the next steps, organizing the work, and asking thoughtful questions when necessary.

We value

Autonomy: You can take ownership without constant supervision.

Clarity: You communicate clearly and keep information organized.

Partnership: You work collaboratively with clients and team members.

Impact: You focus on work that moves projects forward.

Practicality: You look for simple, effective solutions rather than creating unnecessary complexity.

Role details

Approximately 10 to 15 hours per week initially. Hours may increase as the business grows. The role is remote.

Most work can be completed asynchronously, but regular overlap with Clarivon's founder will be required for planning, handoffs, and project coordination.

Your schedule must overlap with Eastern Time for at least 3 hours per day.

The role begins as a part time independent contractor position, with potential to expand in hours, responsibility, and scope based on performance and business needs.

Growth potential

A strong performer could take increasing ownership of:

  • Client project coordination
  • Social media coordination
  • Client onboarding
  • Consulting operations
  • Internal systems and processes
  • Delivery operations
  • Content operations
  • Contractor coordination
  • Business development operations

The long term opportunity is to become someone who understands how Clarivon operates and helps keep the business running smoothly as the company grows.

Hiring process

Step 1: Initial assessment, 15 to 20 minutes
Step 2: Live video interview
Step 3: Final round case study presented live

Expected hours: 10.0 – 15.0 per week

Work Location: Remote
