Job description
JOB SUMMARY:
To ensure the smooth running of the day to day operations of the contract; in such a manner to ensure the continuous provision of professional security services that meets the requirements of the client.
ESSENTIAL FUNCTIONS
- Client meeting attendance
- Resolves client and members of public complaints by investigating problems
- Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks with all stakeholders
- Manage staff evaluations and provide feedback to Branch Manager
- Submit reports on all investigations to relevant stakeholders
- Staff recruitment to fill identified gaps
- Manage regular training sessions with all staff
- Ensure that communication of all policy changes and updates are provided to the staff as and when they are relayed from Branch Manager
- Manage the smooth day to day running of contract to ensure profitability
- Ensure site procedures and emergency plans are in place according to contract requirements
- Ensure site procedures and emergency plans are practiced regularly
- Determine risk and operational preparedness on the relevant sites
- Review requirements for a quality security service on sites and recommend improvements
- Investigate possible growth and other business opportunities in the area
- Establish resource requirements to ensure a quality service to the clients
- Acquire the necessary resources that may be required to ensure quality service to clients
- · Ensure all available resources are optionally utilized to perform a profitable security service
- Comply with directives, guidelines, policies, procedures, and relevant standards
- Analyse outcomes for continuous improvement of procedures and processes
- Manage the work schedules of direct reports
- Schedule work to meet agreed plans, contracts and agreements in a cost-effective manner
- Ensure security officers comply with the Company’s uniform standard
- Maintain a security information system
- Advise superiors about important/problematic physical risk factors
- Conduct investigations of crime scenes
- Conduct investigations of all claims against the Company
- Follow up on all reported incidents
- Check patrol reports on a regular basis
- Conduct security site surveys
- Prepare the required duty rosters as per the site requirements
- Ensure security officers are posted on sites according to the client agreements
- Authorize the necessary time sheets/attendance register of security officers
- Answer all written complaints from clients within twenty-four (24) hours
- Complete documentation regarding site administration such as risk analysis, site surveys, site audits, letters, investigations and management reports
- Ensure the site administration is completed as required
- Compile and submit financial and management reports in time
- Ensure a nominal roll of all employees is kept up to date
- Ensure all employees have valid employment agreements
- Ensure all employee files are kept up to date
- Ensure all required employee documentation is on file
- Check pay queries and where necessary correct the payments to security officers
- Determine training needs and where necessary recommend training to be conducted to meet client requirements
- Analyse the suitability of training in the workplace
- Develop subordinates to improve their skills
- Conduct training on site to meet client requirements
- Ensure security officers know what is required by the various clients as agreed in the contracts or agreements
- Ensure security officers act according to the client’s requirements
- Ensure that personnel have done training courses required, for current and future duties
- Ensure new security officers are inducted to meet the requirements of the new tasks
- Maintain strict discipline on the various sites
- Conduct disciplinary hearings, appeals and grievances according to the Company Disciplinary Code
- Manage sick reports, leave and over-time
- Monitor absences due to sickness and where necessary take appropriate action according to Company guidelines
- Carry out health and safety assessments according to Company policies
- Attend to injuries on duty
- Develop and sustain an employee communication forum
- Ensure constructive staff interaction
- Manage the budget
- Control cost and expenditure on sites
- Manage wages of employees using the Time and Attendance System
- Monitor wage cost for any variances
- Ensure that employees are paid correctly and on time
- Ensure clients are correctly invoiced for services rendered
- Follow-up on invoices and statements to ensure clients pay the appropriate amount on time
- Ensure continuous client liaison
- Ensure that client contractual requirements are met
- Conduct meetings with clients as agreed
- Ensure quality client care is maintained on site
- Solve client complaints as soon as possible
- Deliver a security service that meets the clients’ requirements
- Ensure all Company assets are accounted for, properly handled safeguarded and maintained
- Conduct regular vehicle and equipment audits to ensure they are in good working order

Education/Experience
- Matric / Grade 12
- PSIRA Registered Grade A
- 7 years’ experience in a Contract Management
- Evidence of continuing education, such as tertiary, advantageous
- Health and Safety and Building and Facilities management experience
- Strong administration skills essential
- High proficiency in MS Office
- Own vehicle
