Job description
IVANPLATS (Pty) Ltd, a subsidiary of Ivanhoe Mines, is advancing the development of its world-class palladium-rhodium-nickel-copper-gold project in the Limpopo Province near Mokopane. This unique mineral deposit will be exploited using large mechanised state-of-the-art underground mining methods, deploying the latest technology to develop this “mine of the future”. Suitably qualified and experienced candidates are invited to apply for the following vacancies required for the project development.
Suitable candidates must possess the following minimum qualifications and skills :
- Grade 12
- Suitable candidates must possess a Diploma or Degree in one of the following:
- Commerce (BCom)
- Business Administration
- Quantity Surveying / Cost Management
- Information Management / Records Management
- A related commercial or contracts discipline
Suitable Candidates Must Have The Following Work Experience
- Suitable candidates must have 5–8 years' experience in:
- Document control (essential)
- Commercial / contract documentation
- A commercial or contracts administration environment
The successful candidate will be responsible for, but not be limited to:
- Establish, maintain and control a structured document management system for all commercial documentation, applying consistent numbering, version control, naming and filing conventions.
- Maintain master registers and databases for contracts, variations, claims and correspondence, ensuring records are accurate, complete, traceable and readily accessible for decision-making, audit and supplier performance management.
- Control the distribution, transmittal, retrieval, archiving and retention of documents in line with company records-management and governance standards.
- Ensure the collection, review and maintenance of all required certificates of insurance and performance bonds.
- Safeguard confidential and commercially sensitive information through appropriate access control and a reliable audit trail.
- Prepare bid documents, process specifications, test and progress reports (as applicable) and other exhibits that may be required.
- Draw up contract documentation using GCC, NEC, FIDIC or JBCC conditions of contract.
- Review bids for conformity to contract requirements and determine the acceptability of each bid.
- Assist in the commercial aspects of tender evaluations.
- Verify that all parties have fulfilled their contractual obligations.
- Identify material breaches of contract and escalate as appropriate.
- Maintain contract files and ensure that contracts, amendments, variations and supporting correspondence are properly recorded, tracked and up to date.
- Track key contractual dates, milestones, guarantees, securities, insurances and renewals, providing timely reminders to the commercial team.
- Align commercial documentation to support cost control, contract compliance and operational efficiency.
- Examine performance requirements, delivery schedules and estimates of the cost of materials, equipment and production to ensure completeness and accuracy.
- Support the accurate capture and reconciliation of invoices, variations and claims against the relevant contracts.
- Verify that the contractor or vendor complies with all the terms and conditions of the contract documents.
- Advise applicable departments of their contractual rights and obligations.
Preference will be given to Historically Disadvantaged South Africans (HDSA) from local communities surrounding Ivanplats Platreef mine. Applications are only open to South African Citizens and Permanent RSA Residents.
