Job description
We are looking for a highly organised and detail-oriented Council Submissions & Compliance Administrator to join our team on a temporary basis.
The successful candidate will be responsible for reviewing council submission requirements, following up on outstanding compliance documentation and ensuring that complete and accurate submission packs are prepared and submitted timeously.
Key Responsibilities
- Review council submission lists and identify outstanding documentation for each project.
- Retrieve project information and documentation from internal systems.
- Follow up with internal teams, contractors and clients via email and telephone to obtain outstanding documentation.
- Compile and maintain detailed lists of outstanding Certificates of Compliance (COCs), including electrical, plumbing and other relevant service-related COCs.
- Review project information and quotations to determine services provided and documentation required.
- Compile complete documentation packs for Council submission.
- Submit documentation to the relevant Council Department and follow up on outstanding information.
- Maintain accurate council spreadsheets, trackers, notes and project records.
- Monitor submission progress and ensure outstanding items are followed up timeously.
- Maintain accurate filing systems for compliance documentation and audit purposes.
- Provide regular updates and reports on outstanding documentation and submission progress.
Minimum Requirements & Skills
- Previous experience in administration, compliance, project administration or a similar role.
- Strong organisational and administrative skills.
- Excellent attention to detail and accuracy.
- Proficiency in Microsoft Excel and working with spreadsheets and trackers.
- Strong written and verbal communication skills.
- Comfortable communicating with contractors, clients and internal departments.
- Strong follow-up and time-management skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Ability to work independently and proactively identify outstanding information.
- Good understanding of documentation, compliance and administrative processes.
- Ability to compile professional reports and provide clear status updates.
What We Are Looking For
We are looking for someone who is proactive, organised, deadline-driven and comfortable working with large volumes of documentation. Strong attention to detail and the ability to follow up consistently will be key to success in this role.
