Customer Operations Coordinator

About Us

Buna Coffee is an online coffee equipment retailer, founded and run by a husband-and-wife team. We're growing fast and need someone reliable, sharp, and quick on their feet to become the first point of contact for our customers — and to keep quotes, orders and invoices moving without delay.

The Role

You'll be the voice and hands of Buna Coffee's day-to-day operations: answering calls and messages the moment they come in, turning enquiries into quotes, and quotes into invoices — fast. You'll work closely with the owners but run this part of the business independently, from a dedicated desk at Workshop17 Tabakhuis in Paarl (not from a home office).

What You'll Do

• Answer incoming calls, WhatsApp messages and emails promptly and professionally
• Prepare and send customer quotes on the spot
• Generate and issue invoices once orders are confirmed
• Track orders through to delivery — liaising with couriers and following up proactively
• Keep customer and order records accurate and up to date
• Flag anything requiring pricing/sales judgement or financial sign-off to the owners
• Generally keep the day-to-day machinery of the business running smoothly

What We're Looking For

• Excellent phone manner and written communication
• Fast, organised, and comfortable juggling multiple enquiries at once
• Confident with basic admin/accounting software (e.g. Xero) — or a quick learner
• Self-starter who can work independently but knows when to escalate
• Retail, customer service, or order-processing experience preferred
• Based in or near Paarl, or willing to commute to Workshop17 Tabakhuis daily
• Fluent in English (spoken and written) is essential
• Afrikaans-speaking applicants will get preference, as many of our customers prefer to be served in Afrikaans

Details

• Location: Workshop17 Tabakhuis, Corner of Tabak & Louws Street, Southern Paarl
• Hours: Full-time, 8 hours/day, Monday–Friday
• Salary: R11,000 – R16,000 per month (negotiable, based on experience)
• Equipment: Laptop and work phone provided
• Start date: As soon as possible
