Overview: Customer Service Agent****Overview

The Customer Service Agent is responsible for providing professional, efficient, and customer-focused support to customers across various communication channels. The role requires strong communication skills, problem-solving ability, attention to detail, and a genuine commitment to delivering a positive customer experience. The Customer Service Agent will assist customers with enquiries, account and service-related requests, complaints, and general support while ensuring that all interactions are handled professionally and in accordance with company and client standards.Responsibilities

Customer Service & Support

  • Respond to customer enquiries through inbound calls, emails, chat, or other designated communication channels.
  • Provide accurate and professional information to customers regarding products, services, accounts, and processes.
  • Identify customer needs and provide appropriate solutions within agreed processes and guidelines.
  • Handle customer complaints and escalations professionally and work toward appropriate resolutions.
  • Maintain a positive, professional, and customer-focused approach throughout every interaction.
  • Ensure customers receive clear and accurate information at all times.
  • Follow up on outstanding customer queries where required.

Call & Communication Handling

  • Handle customer interactions in line with required quality and performance standards.
  • Communicate clearly and professionally with customers from diverse backgrounds.
  • Demonstrate active listening and effective questioning techniques to understand customer needs.
  • Maintain appropriate call control while ensuring customers feel heard and supported.
  • Adapt communication style according to the customer and nature of the enquiry.
  • Maintain professional telephone and written communication etiquette.

Query Resolution & Problem Solving

  • Investigate customer queries and identify the appropriate resolution.
  • Use available systems, knowledge bases, and resources to resolve customer issues.
  • Escalate complex or unresolved matters to the appropriate department or supervisor.
  • Take ownership of customer issues until the appropriate resolution or handover has been completed.
  • Identify recurring customer issues and communicate trends or concerns to management.

Systems & Administration

  • Accurately capture and update customer information on relevant systems.
  • Maintain accurate records of all customer interactions.
  • Complete required documentation and administrative tasks within agreed timelines.
  • Navigate multiple systems while assisting customers.
  • Protect customer information and maintain confidentiality at all times.

Quality & Performance

  • Meet or exceed required customer service, productivity, quality, attendance, and adherence targets.
  • Follow company, campaign, and client-specific procedures and policies.
  • Participate in coaching, training, quality assessments, and performance improvement initiatives.
  • Actively seek feedback and continuously develop customer service skills.
  • Maintain consistent performance in a fast-paced contact-centre environment.

Compliance & Customer Confidentiality

  • Follow all company and client policies, procedures, and compliance requirements.
  • Maintain confidentiality when handling customer and company information.
  • Ensure customer information is processed and stored in accordance with applicable policies.
  • Report potential compliance or security concerns to the appropriate management team.

Qualifications

  • Grade 12 / Matric or equivalent required.
  • Minimum of 6–12 months' experience in a customer service, contact centre, call centre,
  • Previous experience handling inbound customer interactions will be advantageous.
  • Excellent English communication skills, both verbal and written.
  • Strong computer literacy and ability to work across multiple systems.
  • Ability to work shifts, including evenings, weekends, and public holidays where required.
  • Strong customer service and problem-solving skills.
  • Ability to work effectively in a high-volume and target-driven environment.
  • Professional, reliable, and customer-focused approach.
  • Must be willing to work on-site in Durban / Umhlanga.
  • Previous BPO or international customer service experience will be advantageous.
