Job description
Dis-Chem Pharmacies’ Distribution Centre in Cape Town, Stikland has an opportunity available for a Mezzanine Supervisor to join the team. The main purpose of this role will be to achieve operational excellence within the Dis-Chem Retail Distribution Centre, incorporating planning, procurement, replenishment, inventory,picking, checking, dispatch and warehousing. This includes the daily planning and releasing of waves, maintenance of the order system, emergency orders, replenishment, picking, and Invoicing in some cases, of stock purchased from the DC in order to meet both legal and Store /Customer requirements. - Grade 12 / Matric

Function and Duties:
Planning:
Optimize planning and forecasting of department resources to meet the daily strategic objective defined by the quantity of orders in the system.

Determine staffing requirements and make recommendations to management.

Ensure that the Packaging Department tasks are sorted according to priority and are executed as per instructions received.

Picking, Replenishment and Procurement:
-
Ensure that the processing of customer orders does not exceed 2 days to process.

Ensure that all customer related operational queries are efficiently resolved and feedback is given to customers regarding High Value and Stationary.

Prioritizing special orders as requested.

Assist with credit note reductions related to damages, picking and checking inaccuracies.

Ensure that procurement for stationary is done on a weekly basis.

Continually negotiate better pricing for stationary on behalf of Dischem.

Ensure that picking is prioritized for coastal cut offs and that picking stats are monitored to ensure that productivity and accuracy targets are met.

Analyse picking data and take corrective action.

Ensure orders are picked, once an order is received via picking equipment.

Ensure that necessary boxes/ totes are used and rules are followed at all times.

Ensure necessary standards of speed and accuracy are maintained by all pickers.

Ensure all goods when picked are loaded into the system guided coloured box/ tote.
Picking, Replenishment and Procurement:
- Ensure that the processing of customer orders does not exceed 2 days to process.

Checking Process:
- Ensure that checking staff maintain a high standard of accuracy during the checking process.
- Ensure that stock is packed in the correct size of box and is correctly sealed and labelled correctly.
- Ensure that all goods dispatched are accompanied by a content list or label are correct in all manners.
- Approve the reprinting of invoices when required.
Administration:
- Ensure accurate record keeping of all stock coming in and leaving the department.
- Ensure accurate reporting is done on all levels in the department.
- Ensure accurate filling in department including general administration.
Reporting:
- Monitor workflow and productivity and give proper feedback to the Outbound Manager.
- Provide accurate data on individual performance to management and act when company standards are not met.
- Report any health and safety hazards to ensure ultimate safety in the distribution centre.
- Provide information for the completion of incident reports in relation to health and safety issues and any accidents.
- Ensure all floor checklists are completed and handed to management daily.
- Ensure daily KPI’s are met.
Stock Security:
- Report all damaged goods, variances and errors to management.
- Complete an administrative form and complete organisational formalities for damages/ accidents that occurred while picking.
- Mark and report any merchandise which is short dated or expired to the Inventory team.
- Apply a procedure of stock rotation when packing away stock (Earliest expiry date, to be picked first).
- Apply a procedure of stock rotation when picking stock that expires (FEFO – First Expiry First out).
General:
- Housekeeping must be in accordance to Dis-Chem standards. Make sure that your workstation is always clean and tidy.
- Adhere to Dis-Chem Policies and Standard Operating Procedures.
- Adhere to Health and Safety rules and regulations.
- Adhere to Dis-Chem Uniform and personal appearance policy.
- Adhere to Dis-Chem Disciplinary and Counselling Policy and Procedures.
Knowledge:
Essential: Knowledge of Management Systems, Occupational Health and Safety Regulations, Public Safety and Security, Customer Service,
Transportation Principles and Methods, Production and Processing, Material Handling Standards, Administration and Management, Supply
Chain and Personnel and Human Resources Management. Have knowledge of the business measures and targets, directly related to own role.
Demonstrate thorough theoretical and practical knowledge and understanding of all Distribution Centre, logistics and supply chain operations.
Have knowledge of the business measures and targets, directly related to own role. Knowledge of relevant Labour Relations Acts, industry
standards and training objectives. Comprehensive knowledge of Store and Distribution receiving procedures with regard to ordering, receiving
and stocking. Knowledge of replenishment systems and procedures.
Advantageous:
- Understand quality control analysis and coordination.
- 2nd Language – Read, write and speak
- Be able to identify operational obstacles and opportunities and remain calm and focused under pressure
