Job description

Purpose of the Job

The Debriefer plays a critical role in ensuring operational accuracy, driver compliance, and customer satisfaction. This position involves debriefing drivers, reconciling trip sheets against tracking and planned routes, receiving vehicle keys, and processing waybills. The Debriefer is responsible for identifying discrepancies in Proof of Delivery (POD) documentation, updating freight statuses, logging claims, and managing return stock. In addition, the role requires preparation of delivery paperwork, document handling, and customer communication to resolve POD issues and provide timely updates on deliveries.

Key Responsibilities:

Operational

  • Conduct driver debriefs to capture trip details, compliance issues, and behavioural observations.
  • Reconcile trip sheets against tracking data to identify unscheduled stops and verify adherence to planned routes.
  • Receive and secure vehicle keys upon driver return.
  • Manifest and adjust waybills, including depot changes, ensuring accuracy in freight documentation.
  • Review Proof of Delivery (POD) documents for discrepancies, failed deliveries, and escalate issues where necessary.
  • Record and escalate repeat offences such as speeding or unsafe driving practices.
  • Process PODs through Freightware 7, ensuring correct status progression.
  • Record and reconcile return stock, ensuring accurate documentation.
  • Log claims for discrepancies, failed deliveries, or damaged goods.

Documentation

  • Prepare delivery paperwork for the following day.
  • File processed trip sheets in accordance with compliance standards.
  • Send PODs for scanning once debriefed and verified.
  • Issue daily route sheets to ensure operational readiness.

Customer Service

  • Provide accurate updates to customers regarding deliveries and planned schedules.
  • Conduct daily briefings with customers on POD discrepancies.
  • Resolve POD‑related issues promptly and professionally, maintaining customer satisfaction.

Minimum Requirements:

  • Grade 12
  • 2+ years’ debriefing experience within a supply chain/ warehousing environment.
  • Intermediate proficiency in Microsoft Office Suite, with the ability to prepare delivery documentation, update spreadsheets, and manage trip sheet records accurately.
  • Experience with tracking systems to monitor driver compliance, identify unscheduled stops, and ensure route adherence.
  • Working knowledge of Freightware 7, enabling efficient processing of Proof of Delivery (POD) documents and updating freight statuses.

Skills Required

  • Strong communication skills to engage with drivers and customers effectively.
  • Proven troubleshooting skills to resolve POD discrepancies and delivery issues.
  • Solid data entry skills to ensure accurate recording of trip sheets and claims.
  • Attention to detail to identify unscheduled stops and discrepancies in waybills.
  • Organisational skills to prepare delivery paperwork and maintain filing systems.
  • Customer service skills to provide clear updates and resolve customer concerns.
