Debtors Controller

Minimum Qualifications & Experience

· Diploma or Degree in Accounting, Finance or related field.

· 3–5 years’ debtors/credit control experience.

· Experience with accounting systems (e.g. Nebula, Xero/Pastel).

· Advanced Microsoft Excel.

Key Responsibilities

· Manage corporate, travel agent, OTA, conference and event debtor accounts.

· Issue invoices, statements and credit notes accurately.

· Allocate receipts and reconcile customer accounts.

· Collect outstanding debts.

· Resolve billing disputes with internal and external stakeholders

· Monitor credit limits and recommend account suspension where necessary.

· Prepare debtor age analysis, collection forecasts and management reports.

· Escalate long outstanding debts for legal recovery or write-off approval.

· Ensure compliance with company policies and internal controls.

· Perform additional finance duties assigned by management.

RESPONSIBILITIES

• To contact debtors telephonically and by way of e-mail correspondence in order to recover outstanding payments. Ensure details of correspondence is accurately recorded and maintained.
• To ensure account and contact details are correct.
• To contact account related key contact individuals to facilitate payment.
• To contact customers telephonically, with authorization, before suspending their accounts to remind them of the need for payment. Check payment terms / clauses before suspension.
• To follow up to ensure payment arrangements are honoured.
• To handle account queries and respond to all e-mail and telephonic queries received and see the matters through to completion.
• To use past correspondence to track the history of queries to establish the correct person/s to speak to and to establish past action taken so as not to frustrate the clients.
• To check invoices to see that clients have been invoiced correctly.
• To submit invoices that are applicable to the correct debtors.
• To schedule monthly payments.
• To follow up on long outstanding debtors by discussing them with management for a decision on whether to follow legal steps or to consider issues such as bad debt.
• To update management on the standing of outstanding monies, including feedback on collections.
• To reconcile the age analysis.
• To perform any other work-related duties and responsibilities that may be assigned from time to time by management.
