Job Context

We are seeking an experienced and customer-focused Co-Packing & Replenishment Specialist to manage and coordinate end-to-end co-packing and replenishment activities for a dedicated client. This role serves as the primary operational point of contact between the client and internal teams, ensuring seamless service delivery, operational excellence, and compliance with agreed Service Level Agreements (SLAs).

The successful candidate will be responsible for forecasting, inventory management, operational reporting, stock reconciliation, co-packing coordination, and replenishment planning, while building strong client relationships and driving continuous improvement initiatives. This role requires a proactive professional with strong supply chain knowledge, excellent analytical skills, and a passion for delivering exceptional customer service.

Key Performance Areas (KPA)

Client Relationship Management

• Act as the primary operational point of contact for the designated client.
• Build and maintain strong relationships with client supply chain, commercial, and operational stakeholders.
• Lead operational review meetings and provide performance insights and recommendations.
• Act as a trusted advisor on operational best practices and continuous improvement opportunities.

Operational Performance & Service Delivery

• Monitor daily operational performance against agreed KPIs and SLAs.
• Implement corrective and preventative actions where required.
• Coordinate client change requests, promotional activities, seasonal peaks, and volume fluctuations.
• Ensure service continuity and operational excellence at all times.
• Proactively manage escalations and ensure timely resolution of issues

Co-Packing Operations

• Manage co-packing purchase orders, including allocation, bay assignment, verification, and closure.
• Load, maintain, and validate Bills of Materials (BOMs).
• Ensure master data integrity across relevant systems.
• Prepare and submit wastage reports upon completion of each purchase order.
• Support system enhancements and testing related to co-packing processes.

Replenishment Planning & Inventory Management

• Compile demand plans for various principal clients.
• Ensure optimal stock levels within distribution centres.
• Coordinate Inter-Branch Transfers (IBTs), stock allocation, and transport bookings.
• Manage stock-related queries, including:
• Stock on Hand (SOH)
• Batch and bin queries
• Locked and unlocked stock
• Product trace requests
• Returns
• Best Before Dates (BBDs)
• GRVs and stock discrepancies
• Manage SMA processes and resolve overs, unders, and invalid purchase orders.

Reporting & Compliance

• Prepare, validate, and submit daily, weekly, and monthly operational and replenishment reports.
• Conduct weekly stock reconciliations and variance investigations.
• Ensure compliance with quality, safety, regulatory, and governance requirements.
• Provide accurate operational reporting to support business decision-making.
• Deliver work in accordance with company policies, procedures, and service standards.

Continuous Improvement

• Identify operational risks related to inventory, material availability, forecasting, and capacity.
• Drive process improvements to enhance efficiency, service quality, and operational performance.
• Contribute to continuous improvement initiatives across the supply chain function.

Qualifications Required

• Diploma (NQF Level 6).
• Bachelor's Degree or equivalent three-year qualification (NQF Level 7) will be advantageous.

Skills & Experience Required

• 5–6 years of relevant experience within an FMCG, supply chain, logistics, warehousing, or distribution environment.
• Proven experience in co-packing, replenishment planning, inventory management, and client account management.
• Experience managing operational performance against KPIs and SLAs.

Technical Skills

• Strong understanding of end-to-end co-packing and replenishment operations.
• Sound knowledge of supply chain management and inventory control principles.
• Experience working with ERP and WMS systems.
