Job Description:
CSSi is looking for an IT Dispatch Controller to support our dispatch and logistics operations.
This role involves preparing orders, managing stock movements, coordinating deliveries and courier shipments, and ensuring accurate documentation throughout the dispatch process.
The ideal candidate is highly organized, detail-oriented, and able to work efficiently in a fast-paced warehouse and logistics environment.
Key Responsibilities
Order Processing & Dispatch
- Verify purchase orders (POs) or proof of payment before processing orders.
- Confirm payment terms (account or COD) and coordinate with the accounts team for release of orders.
- Check stock availability and communicate with the sales team regarding backorders or partial deliveries.
- Pick, inspect, and reserve stock items for orders, ensuring items are in good condition.
- Verify correct model numbers and serial numbers before dispatch.
- Prepare delivery notes, invoices, and shipping documentation.
- Capture photographic evidence of dispatched items for internal records.
- Complete and close orders in the company system once delivered or collected.
- Costing and loading of new stock.
Courier & Delivery Coordination
- Prepare courier shipments and ensure parcels are securely packaged.
- Create waybills and manage courier bookings through courier portals.
- Coordinate with drivers for local deliveries and ensure signed delivery documentation is returned.
- Track courier shipments and resolve any delivery issues.
Collections
- Prepare orders for customer collections.
- Verify payments where applicable before releasing orders.
- Ensure clients sign delivery notes or invoices upon collection.
Receiving Stock
- Verify incoming stock against packing lists.
- Inspect items for damage and report issues to management or suppliers.
- Book stock into the inventory system and store items in designated locations.
- Notify the sales team when new stock has been received.
Inventory & Stock Management
- Stock control processes including stock booking, stock returns, and manual book-outs.
- Record serial numbers and maintain accurate inventory records.
- Participate in stock takes and investigate discrepancies.
- Maintain backorder records and follow up on outstanding items.
Logistics & International Shipments
- Assist in arranging international shipments from suppliers and returns to suppliers.
- Request shipping quotes from logistics providers and coordinate collections.
- Prepare required documentation such as commercial invoices and clearing instructions.
- Track international shipments and update internal teams on estimated arrival times.
Returns & RMAs
- Process return material authorizations (RMAs).
- Coordinate courier or delivery arrangements for returned items.
- Manage faulty stock procedures and ensure proper documentation.
Driver Coordination
- Communicate daily delivery schedules with drivers.
- Assist with route planning and delivery coordination.
- Ensure drivers complete required log sheets and inspection reports.
Minimum Requirements
- Matric (Grade 12) or equivalent.
- 3 - 4 years' minimum experience in IT dispatch, logistics, warehouse, or stock control (advantageous).
- Basic understanding of inventory management and dispatch processes.
- Computer literacy (Microsoft Excel, email, and inventory systems).
- Strong attention to detail and organizational skills.
- Ability to work under pressure and meet deadlines.
- Good communication skills and ability to coordinate with multiple departments.
Preferred Skills
- Experience working with inventory or ERP systems.
- Experience with costing new stock( minimum of 2 years' experiences a Requirement)
- Knowledge of courier booking platforms and shipping documentation.
- Basic IT logistics or supply chain knowledge.
