Job Title: Dispatch Team Leader
Department: Production
Reports To: Production Supervisor
Direct Reports: Dispatch Controller & Controller
Job Purpose
The Dispatch Team Leader is responsible for the end-to-end management of the dispatch function within the manufacturing facility, ensuring that all customer orders are accurately packaged, dispatched, and delivered on time. This role oversees the coordination of finished goods from production through to customer delivery, ensuring operational efficiency, inventory accuracy, and exceptional customer service.
The Dispatch Team Leader acts as the central point of communication between Operations, Sales, Logistics, and Customers, providing accurate delivery information and proactively managing any issues that may impact customer deliveries.
Key Responsibilities
Dispatch & Logistics Management
- Manage the daily dispatch operations to ensure all customer orders are shipped accurately and on schedule.
- Ensure all finished goods leaving the factory are checked, documented, and dispatched according to company procedures.
- Coordinate delivery schedules with internal transport resources and external logistics providers.
- Monitor delivery performance and implement improvements to increase efficiency and service levels.
- Ensure dispatch documentation, delivery notes, invoices, and transport documentation are accurate and complete.
- Develop and maintain dispatch schedules aligned with production output and customer delivery requirements.
Order Fulfilment
- Ensure customer orders are complete, correctly packaged, and dispatched in accordance with quality standards.
- Prioritise dispatches based on customer commitments and production schedules.
- Work closely with Production to understand completion timelines and proactively manage dispatch planning.
- Minimise dispatch delays through effective planning and coordination.
Packaging Management
- Oversee the Packaging Controller to ensure all products are packaged according to company standards and customer specifications.
- Ensure packaging materials are available and managed efficiently.
- Drive continuous improvements in packaging quality, efficiency, and cost-effectiveness.
- Ensure products are protected appropriately to minimise transport damage.
Customer & Sales Communication
- Serve as the primary communication point for delivery status updates.
- Provide timely feedback to Sales Representatives regarding order readiness, dispatch dates, and delivery progress.
- Communicate proactively with customers regarding dispatch schedules, delivery confirmations, and any unexpected delays.
- Resolve delivery-related customer concerns promptly and professionally.
- Maintain a closed-loop communication process so customers and sales teams remain informed from order completion through to successful delivery.
Team Leadership
- Lead, mentor, and develop the Dispatch Controller and Packaging Controller.
- Allocate workloads and ensure departmental productivity targets are achieved.
- Conduct performance reviews and identify training and development opportunities.
- Foster a culture of accountability, teamwork, and continuous improvement.
Inventory & Compliance
- Ensure accurate dispatch records are maintained within the ERP or inventory management system.
- Maintain stock accuracy within the dispatch area.
- Ensure compliance with company quality standards, ISO procedures, and health and safety regulations.
- Conduct regular audits of dispatch processes and inventory accuracy.
- Investigate and resolve dispatch discrepancies.
Continuous Improvement
- Identify opportunities to improve dispatch processes, reduce costs, and increase customer satisfaction.
- Analyse delivery performance, dispatch accuracy, and customer feedback to drive improvements.
- Support operational improvement initiatives across Production and Operations.
Required Qualifications
- Diploma in Logistics, Supply Chain Management, Operations Management, or a related field (preferred).
- Minimum of 5 years' experience in dispatch, warehouse, or logistics management within a manufacturing environment.
- Previous supervisory or management experience.
- Experience using ERP or warehouse management systems.
- Experience managing transport scheduling and customer deliveries.
