Driver & Administrative Assistant
Reports To: Operations Manager / Business Owner
Employment Type: Full-Time
Location: Cape Winelands, Western Cape
Position Summary
The Driver & Administrative Assistant is responsible for providing transportation, operational, recruitment, and administrative support to ensure the smooth running of the business. This role requires a highly organised, reliable, and professional individual who can effectively manage staff transportation, assist with recruitment and scheduling, perform office administration tasks, and support daily business operations.
The successful candidate will serve as an important link between management, staff, clients, and the office, helping to maintain service excellence and operational efficiency.
Key Responsibilities
1. Driving and Staff Transportation
* Transport staff safely and punctually to and from client locations.
* Assist with the collection and delivery of documents, uniforms, equipment, and supplies.
* Ensure company vehicles are clean, fuelled, and roadworthy at all times.
* Conduct daily vehicle inspections and report maintenance requirements promptly.
* Maintain accurate vehicle logs, mileage records, and fuel records.
* Comply with all traffic laws and company vehicle policies.
Recruitment Support
* Source potential candidates through various recruitment channels.
* Conduct initial candidate screenings and reference checks.
* Assist with interview scheduling and candidate communication.
* Verify applicant documentation and maintain recruitment records.
* Assist with onboarding and induction of new employees.
* Support recruitment drives and community outreach initiatives.
* Arrange a regular training schedule and Assist with regular training as and when needed.
Administrative Duties
* Answer incoming telephone calls and WhatsApp enquiries professionally.
* Assist clients with bookings, enquiries, and service-related information.
* Maintain employee and client records accurately.
* Prepare and file documents, contracts, reports, and correspondence.
* Assist with data capturing and updating company systems.
* Monitor and maintain office filing systems.
* Support payroll administration by ensuring timesheets and attendance records are submitted accurately and on time.
* Assist with invoicing and payment follow-ups when required.
Scheduling and Operations Support
* Assist with staff scheduling and daily route planning.
* Communicate schedule changes to staff and clients.
* Assist in arranging replacements for absent employees.
* Ensure staff arrive at their assigned locations on time.
* Escalate operational concerns to management promptly.
* Support management with special projects and operational requirements.
Sales and Business Development Support
* Regular visits to local estate agents
* Assist with marketing campaigns and promotional activities or shopping mall exhibitions
* Conduct basic client follow-ups, satisfaction and quality checks
* Identify potential opportunities for business growth and refer them to management.
* Promote company services professionally when interacting with clients and the public.
Key Performance Indicators (KPIs)
* Staff transport punctuality and reliability.
* Accuracy and completion of administrative tasks.
* Timely updating of staff and client records.
* Response times to client and staff enquiries.
* Recruitment targets and quality of candidates sourced.
* Vehicle maintenance and compliance records.
* Client satisfaction and service support.
* Adherence to company policies and procedures.
Working Conditions
* Primarily office office-based with regular travel required.
* Occasional work outside normal business hours may be required to support operational needs.
* Regular interaction with staff, clients, suppliers, and management.

License/Certification:
- Drivers License - minimum 5 years (Preferred)
