Job description

Location: 2 Lascelles Road, Meadowbrook, Edenvale

Hours: 08:00 - 17:00 weekdays

Reporting to: Key Account Executive

Job Overview

The Administrator – Online Team will provide administrative support to the online department, ensuring the smooth coordination of daily operations, processes, reporting, and communication. This role is ideal for a highly organised and detail-oriented individual who can effectively manage administrative functions within a fast-paced eCommerce and digital environment.

Key Responsibilities

Administrative Support

Provide administrative support to the Online Team, including eCommerce, digital marketing, and online sales functions.

Manage team calendars, schedule meetings, and prepare agendas and meeting minutes.

Coordinate online team documents, reports, and files, ensuring accuracy and version control.

Operational Coordination

Monitor and update key trackers, schedules, and process flows related to promotions, campaigns, stock levels, and product listings.

Liaise with internal departments including Warehouse, Finance, Design, and IT to ensure alignment on online activities.

Track and follow up on deliverables and tasks assigned across the team.

Reporting & Data Management

Prepare weekly reports and assist with data entry, analysis, and presentation preparation.

Ensure the accuracy of product, pricing, and stock information across online platforms.

Maintain accurate records and reporting documentation.

Process Improvement

Identify opportunities to improve administrative processes and operational efficiency.

Implement and maintain effective digital filing and organisational systems.

Communication & Liaison

Act as the first point of contact for administrative queries within the Online Team.

Communicate professionally with external vendors, suppliers, and service providers.

Support collaboration between departments to ensure successful execution of online initiatives.

Service Level Agreement (SLA) Management

Establish and maintain Service Level Agreements with internal stakeholders and external vendors.

Monitor SLA performance and implement corrective actions where required.

Conduct regular SLA reviews and updates to ensure alignment with business objectives and customer expectations.

Requirements

Strong organisational and administrative skills.

Excellent communication and interpersonal abilities.

Ability to manage multiple priorities and deadlines effectively.

Sound knowledge of administrative processes and procedures.

Strong attention to detail and accuracy.

Proficiency in Microsoft Office and administrative software tools.

Ability to work independently and collaboratively within a team environment.

Education and Experience

Proven experience in administration, SLA management, or a similar role, preferably within an online, retail, sales, or eCommerce environment.

Experience working with administrative software and business systems.

Bachelor's Degree in Business Administration, Management, or a related field is advantageous.
