E-Commerce Bookkeeper – Xero & A2X (UK VAT Focus)

Overview

Our client is looking for a detail-oriented, reliable, and execution-focused E-Commerce Bookkeeper – Xero & A2X (UK VAT Focus) to manage daily financial tracking, inventory reconciliation, and accounting processes. In this role, you will keep day-to-day accounts accurate, ensure smooth inventory cycling across multiple global locations, and maintain financial records in Xero . This position requires someone comfortable with e-commerce accounting tools like A2X and precise when managing manual stock tracking spreadsheets.

Schedule:

• 7:00 AM to 11:00 AM BST, UK Time (2:00 PM to 6:00 PM Manila Time)

Responsibilities

• Daily Reconciliations & Invoicing: Manage Accounts Payable (AP) and Accounts Receivable (AR); raise, process, and reconcile daily incoming and outgoing invoices promptly so shipments are not delayed.
• E-Commerce Data Integration: Manage and track daily e-commerce revenue from Shopify and Amazon, ensuring seamless data flow into Xero using A2X.
• Inventory & Stock Cycling: Update and maintain the company's manual spreadsheet inventory tracking system across key locations (UK, US, HK, Mainland China) to reflect accurate stock levels and SKU movements.
• Ledger Maintenance & Financial Statements: Ensure accurate entries into Xero, maintaining accurate General Ledgers, Profit & Loss (P&L) statements, and Balance Sheet entries.
• UK VAT Compliance: Assist with preparing and lodging monthly/quarterly UK VAT returns (including coordination with external UK accountants and online VAT service providers).
• Cash Flow & Daily Reporting: Provide clean, accurate financial logs and daily operational tracking for executive review.

Requirements

• Proven hands-on experience using Xero accounting software (Essential).
• Direct experience using Shopify , Amazon , and A2X integration software.
• Strong competency in Microsoft Excel / Google Sheets for manual inventory tracking and stock adjustments.
• Familiarity with UK VAT compliance , quarterly filings, and working with UK accounting standards.
• Strong, dependable execution capability in core bookkeeping routines (financial analysis or managerial-level forecasting is not required).
• Highly trustworthy, accountable, quick to execute daily invoicing tasks, and able to work independently with minimal supervision.
