Job Purpose:

To coordinate and facilitate events, communication initiatives and sporting activities that promote student engagement, institutional visibility and a positive campus experience. The role is responsible for planning and executing events, coordinating sporting programmes and activities, supporting internal and external communications, liaising with stakeholders and service providers, and ensuring that all activities are delivered effectively, professionally and within agreed timelines and budgets.

Duties & Responsibilities:

Planning and Coodination of Events

  • Plan and coordinate national and campus-specific events, defining requirements, sourcing venues and suppliers, and managing invitations, RSVPs and event marketing.
  • Coordinate the end-to-end delivery of events within budget, including on-the-day management, photography, stakeholder engagement, and ensuring safety and OHS compliance.
  • Build strong relationships with venues and suppliers, ensure a positive experience for students and staff, and compile post-event closeout reports highlighting outcomes and lessons learnt.

Staff Communication Coordination

  • Implement the campus communication strategy and student support calendar, coordinating and compiling communications according to departmental and campus requirements.
  • Develop and distribute communications through appropriate channels, ensuring messages reach the relevant stakeholders and are aligned with established communication protocols.
  • Monitor communication delivery and adherence to standards, while supporting the preparation and distribution of targeted staff communications as required.

Stakeholder and Student Communication Coordination

  • Compile, coordinate and distribute student communications in line with the communication strategy and student calendar, ensuring all communication is logged, actioned and shared through appropriate platforms.
  • Increase student awareness of campus activities and events through timely updates across the website, app, newsletters and SMS, while coordinating event photos and details with the Marketing Department.

Collaborate with Sports, Social and Communications Commitee

  • Support the Student Council’s Social and Communication portfolio by coordinating meetings, events and activities in collaboration with the Head of Student Council and relevant stakeholders.
  • Provide guidance and training on event planning and logistics, while overseeing the Social Committee’s planning and execution to ensure successful delivery.

Minimum requirements:

Diploma in Communications/Events Management/Public Relations/Corporate Communications, . NQF Level 6

1-2 years of experience events coordination.

1-2 years' experience within an Educational Institution required.

MS Office proficient

Valid driving license

Key competencies:

Knowledge and understanding of the South African higher education systems and regulatory framework.

Ability to manage time effectively.

Attention to detail.

Customer service orientated.

Ability to effectively cope with change.

Deadline orientated and can work well under pressure.

Be able to work in a team environment.

Effective communication skills Working Hours:

Classes are scheduled from 08h00am until 17h00pm, Monday to Friday. Your working hours will depend on the modules allocated to you.
