About the Role
AssetStone Ltd, a UK/Europe-focused specialty finance firm, is seeking an experienced Executive Assistant to provide high-level support to the CEO/Director. This is a pivotal role supporting the leadership of a fast-paced firm managing a diverse property and finance portfolio across the UK and Europe.
Key Responsibilities
- Diary & schedule management: Proactively manage a complex, shifting calendar, prioritising competing demands across board meetings, investor calls, site visits, and external stakeholder engagements
- Correspondence & communications: Draft, review, and manage correspondence on behalf of the Director; screen and triage email inbox; ensure timely responses to time-sensitive matters
- Meeting coordination: Organise and prepare board meetings, investor updates, and management calls — including agenda preparation, minute-taking, and follow-up action tracking
- Travel & logistics: Arrange domestic and international travel, accommodation, and itineraries
- Document preparation: Prepare presentations, reports, and briefing packs; proofread and format materials to a professional standard
- Stakeholder liaison: Act as a first point of contact for investors, lenders, professional advisers (legal, tax, planning consultants), and internal team members
- Confidentiality & discretion: Handle sensitive commercial, financial, and legal information with absolute discretion
- Project support: Assist with ad hoc projects across the portfolio, including planning applications, financing transactions, and corporate governance matters
- Office management: Support broader office administration as needed, working closely with the Accounts & Operations team
Candidate Profile
- Minimum 3–5 years' experience as an EA/PA supporting C-suite or director-level executives, ideally within financial services, property, or professional services
- Exceptional organisational skills with the ability to manage competing priorities under pressure
- Excellent written and verbal communication skills; comfortable drafting on behalf of a senior executive
- High level of discretion and sound judgement in handling confidential matters
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfortable adopting new tools/systems
- A proactive, "no task too small" attitude combined with the gravitas to interact confidently with investors and senior stakeholders
- Prior exposure to real estate, finance, or legal environments is advantageous but not essential
Pay: R20 000,00 - R24 150,00 per month
