Job Title : Executive Assistant
Location: Johannesburg (In-Office) Auckland Park
Working Hours: USA Business Hours - 6PM TO 3AM
Role Overview
We are seeking a highly organized and proactive Executive Virtual Assistant (EVA) to provide comprehensive administrative and operational support to senior executives. The ideal candidate will excel at multitasking, communication, and managing priorities in a fast-paced, dynamic environment.
Key Responsibilities:
● Manage and prioritize email inboxes, including responding, organizing, and
tracking correspondence.
● Schedule and coordinate meetings, events, and travel arrangements.
● Prepare meeting agendas, take notes, and ensure timely follow-up on action
items.
● Maintain and update reports, spreadsheets, and presentation materials.
Coordinate and manage vendor communications and contracts.
● Handle phone calls, messages, and internal/external communication on behalf of
executives.
● Coordinate special projects, including preparing PowerPoint presentations,
research, and data compilation.
● Maintain confidential and sensitive information with discretion.
● Transcribe meeting notes and manage virtual meeting logistics (Zoom, Teams,
etc.).
● Keep executives informed of key priorities, deadlines, and upcoming events.
● Support client relations and assist with negotiations or documentation as needed.
● Attend to personal and professional tasks such as travel bookings, event
coordination, and scheduling.
Qualifications:
● Bachelor’s degree or equivalent experience preferred.
● Minimum 2–5 years of experience as an Executive Assistant, Virtual
Assistant
● Strong written and verbal communication skills.
● Proficiency in Microsoft Office Suite and online collaboration tools (Google
Workspace, Zoom, etc.)
● Excellent organizational skills and attention to detail.
● Ability to handle confidential information with integrity.
● Strong time management and multitasking abilities.
