Executive Personal Assistant

About the Role

We are seeking a highly organized, discreet, and proactive Executive Personal Assistant to provide comprehensive support to our Executive Team. This role requires someone who can juggle multiple stakeholders' schedules and priorities simultaneously, anticipate needs before they arise, and handle both professional and personal matters with the highest level of confidentiality and professionalism. Given the regional scope of the team's work — including travel across multiple African markets — the ideal candidate is comfortable coordinating logistics across time zones and geographies for several executives at once.

Key Responsibilities

• Manage complex, often conflicting calendars for multiple executives across time zones
• Coordinate domestic and international travel arrangements for the team, including visas, itineraries, and accommodation
• Prepare correspondence, reports, presentations, and briefing materials for various executives
• Act as a central point of contact, screening and triaging calls, emails, and requests across the executive team
• Liaise with internal stakeholders, board members, and external partners on the team's behalf
• Handle confidential and sensitive information with absolute discretion
• Organize and minute executive meetings, track follow-up actions, and ensure deadlines are met across workstreams
• Process expense reports and manage budgets related to the executive office
• Balance and prioritize competing requests from different executives fairly and efficiently
• Anticipate the team's needs and proactively solve problems before they escalate

Requirements

• 5+ years of experience as an Executive Assistant, ideally supporting multiple senior leaders simultaneously
• Own Vehicle
• Exceptional organizational and time-management skills, with strong prioritization instincts
• Excellent written and verbal communication
• High level of discretion and sound judgment in handling confidential matters
• Proficiency in Microsoft Office / Google Workspace and calendar management tools
• Ability to work independently, manage competing demands from multiple stakeholders, and remain calm under pressure
• Willingness to travel and flexibility with working hours when required
• Experience supporting executives with multi-country or regional responsibilities is an advantage

Pay: R28 000,00 - R30 000,00 per month
