Job description
We are looking for a highly capable Executive Personal Assistant to support a Founder / CEO operating across multiple international businesses, time zones, travel schedules, and personal commitments.
This is a full-time, high-trust execution role. It is not a Chief of Staff role, not a 2IC role, and not a general management position. The role exists to protect the CEO’s time, manage incoming information, close open loops, coordinate logistics, and ensure the right matters reach the CEO at the right time. The successful candidate will work closely with the CEO, travel when required, and support both business and personal operations with discretion, speed, calmness, and precision.
Key Responsibilities:
- Manage the CEO’s calendar, diary, meetings, reminders, and daily priorities
- Triage WhatsApp messages, calls, emails, documents, requests, and follow-ups
- Track open tasks, deadlines, promises, and pending matters so nothing is missed
- Coordinate domestic and international travel, including flights, accommodation, visas, transport, itineraries, and travel preparation
- Prepare briefings, meeting notes, documents, summaries, and follow-up lists
- Liaise with staff, clients, suppliers, lawyers, accountants, banks, service providers, and family-related contacts where required
- Anticipate needs, remove friction, and resolve practical issues before they reach the CEO
- Support personal logistics, travel companions, and accompanying parties with discretion and professionalism
- Maintain strict confidentiality across all business, financial, personal, and family matters
Working Style:
This role requires someone who is proactive, highly organised, calm under pressure, and comfortable operating in a fast-moving, unpredictable environment. You must be able to work without rigid structure, handle changing priorities, and remain responsive across time zones when required. The role involves significant trust and access, but any authority exercised is delegated authority on behalf of the CEO. The purpose of the role is to enable the CEO’s execution, not to create a separate command structure.

This Role Does Not Suit Someone who:
- Wants to be a Chief of Staff, 2IC, general manager, or independent decision-maker
- Needs a fixed 9–5 structure or narrow corporate job description
- Sees access to the CEO as personal status
- Struggles with personal tasks, travel logistics, or practical administration Requires constant instruction, reassurance, or emotional management
Independent Contractor Arrangement:
This role is offered as an independent contractor engagement and is not an employment relationship.
The contractor is responsible for their own tax affairs, statutory obligations, medical aid, insurance, retirement planning, accounting, and any legal or financial obligations in their country of residence. For the right long-term candidate, the Company intends to support an international working arrangement outside South Africa, with regular travel as required. During Company-directed international travel, reasonable business-related travel costs, including flights, accommodation, local transport, and approved expenses, will be covered. The Company does not guarantee any particular tax outcome, and candidates should obtain independent tax advice where required.
Requirements:
- Prior experience supporting a senior executive, founder, CEO, or high-demand individual Strong organisation, communication, discretion, judgement, and follow-through
- Comfortable with WhatsApp, email, calendars, documents, spreadsheets, and task tracking
- Fluent English
- Spanish advantageous
- Valid passport
- Willingness to travel extensively.
