To provide quality, accurate, and efficient administrative and operational support to internal and external stakeholders within the Facilities Management function. The role enables business goals through SAP administration, facilities helpdesk coordination, maintenance tracking, supplier and contractor management, reporting, record keeping and service excellence across sites.Job Responsibilities
- Capture and process stakeholder requests, maintenance transactions and administrative activities on relevant systems and SAP.
- Process vendor invoices, purchase requisitions, service entries, goods receipts and payment-related transactions.
- Maintain facilities, compliance, maintenance and asset records in accordance with company standards.
- Monitor and manage facilities helpdesk mailboxes, log and track requests through to completion within SLA requirements.
- Provide feedback to stakeholders and resolve or escalate outstanding issues appropriately.
- Liaise with contractors and suppliers regarding quotations, purchase orders, maintenance scheduling, and service delivery.
- Prepare management reports, maintenance schedules, MIS information, and budget-related information.
- Perform reconciliations, verify transactions, and ensure accuracy of administrative processing.
- Monitor departmental expenditure, support budget compilation and identify cost-saving opportunities.
- Maintain statutory, health and safety and compliance records.
- Identify and recommend process improvements and support implementation of new systems and procedures.
- Support various Mini Campus sites within the portfolio with reception, visitor management, meeting room bookings and site administration when required. Essential Qualification - NQF Level
- Matric / Grade 12 / National Senior Certificate
- Drivers licence Preferred Qualification
- Diploma in Business Administration, Financial Management, Facilities Management or related field. Minimum Experience Level
- 2 - 3 years facilities administration experience Technical / Professional Knowledge
