Job description

Position : Finance Manager (Full-Time)

Reports to: Finance Head

Location : Mthatha

One to One Africa is a South African registered non-profit organisation dedicated to transforming the lives of children, women and families affected by poverty, chronic illness and HIV. Through integrated health, education and psychosocial programmes, One to One Africa works with communities to ensure vulnerable families not only survive but thrive.

Position Summary:

The Finance Manager is responsible for leading and managing the day-to-day finance function of the organisation, ensuring sound financial stewardship, strong governance, statutory compliance and high-quality financial reporting across all programmes and funding streams.

The role is responsible for accurate financial reporting, effective budget management and robust internal controls. The Finance Manager partners closely with Programme Managers, Grants Officer, the Business Development team and Executive Management to support informed decision-making, organisational sustainability and the successful delivery of donor-funded programmes.

Key Performance Indicators

The Finance Manager will be measured against the following key performance indicators:

· Monthly management accounts prepared accurately and within agreed deadlines.

· Annual organisational budget and quarterly forecasts completed on time.

· Monthly organisational cash flow forecasts maintained and monitored.

· Annual audit completed with no material finance findings.

· Monthly balance sheet reconciliations completed.

· Statutory returns submitted accurately and on time.

· Finance policies and internal controls maintained and continuously improved.

· Finance team performance objectives achieved.

Key Responsibilities

Financial Management & Reporting

· Lead and manage the day-to-day finance function.

· Oversee the complete accounting cycle from transaction processing through month-end and year-end close.

· Ensure accurate recording of all financial transactions in accordance with accounting standards and organisational policies.

· Prepare monthly management accounts with detailed variance analysis and commentary.

· Produce monthly programme expenditure reports.

· Maintain the integrity of the general ledger and financial records.

· Ensure monthly reconciliation of all balance sheet accounts.

· Maintain the fixed asset register and oversee asset accounting.

· Monitor accruals, provisions, receivables and payables.

· Support the preparation of the Annual Financial Statements.

Financial Planning & Analysis

· Lead the annual organisational budgeting process with the FD.

· Prepare quarterly forecasts and periodic reforecasts.

· Monitor organisational and programme financial performance.

· Analyse budget variances and recommend corrective action.

· Assist the FD to develop financial models and scenario analyses to support strategic planning.

· Identify cost-saving opportunities and operational efficiencies.

· Prepare financial reports and dashboards for Executive Management and the Board.

Treasury & Cash Flow Management

· Prepare rolling organisational cash flow forecasts.

· Monitor organisational liquidity and funding requirements.

· Manage banking relationships and payment processes.

· Monitor donor receipts and forecast funding gaps.

· Monitor foreign exchange transactions where applicable.

· Ensure sufficient cash resources are available to meet operational requirements.

Governance, Compliance & Risk Management

· Maintain statutory financial compliance, including tax, VAT, PAYE and all regulatory requirements.

· Maintain and strengthen the organisation's internal control framework.

· Ensure appropriate segregation of duties across finance processes.

· Maintain finance policies, procedures and standard operating procedures.

· Support fraud prevention initiatives and investigations where required.

Audit & Assurance

· Coordinate the annual external audit process.

· Assist the Management Accountant with the coordination of donor financial audits.

· Prepare audit schedules and supporting documentation.

· Respond to audit findings and implement agreed corrective actions.

· Ensure timely resolution of audit recommendations.

Systems & Process Improvement

· Lead initiatives to improve finance systems and processes.

· Ensure effective utilisation of accounting software and financial systems.

· Improve financial reporting automation and data quality.

· Assist the FD to develop financial dashboards and reporting tools.

· Identify and implement continuous improvement initiatives across the finance function.

Leadership & People Management

· Lead, supervise and develop the finance team.

· Manage staff performance and professional development.

· Promote a culture of accountability, collaboration and continuous improvement.

· Build finance capability across the organisation.

Business Partnering

· Provide financial advice and support to budget holders.

· Assist the FD to prepare financial information and recommendations to Executive Management and the Board.

· Liaise with auditors, banks, SARS and other external stakeholders on financial matters as required.

Qualifications

Essential:

Chartered Accountant (CA(SA)) or CTA together with a BCom Honours/BCom Accounting or equivalent finance qualification with significant relevant experience.

Desirable: Postgraduate qualification in Finance, Accounting or Business Management.

Experience

· Minimum of 5 years' progressive finance experience.

· At least 3 years in a finance management role.

· Demonstrated experience within an NGO or donor-funded environment.

· Proven experience managing multiple donor-funded grants simultaneously.

· Experience preparing donor financial reports and donor budgets.

· Experience managing statutory and donor audits.

· Strong experience in budgeting, forecasting and financial planning.

· Experience strengthening financial systems and internal controls.

Technical Skills

· Financial accounting and reporting.

· Fund accounting and project costing.

· Budgeting and forecasting.

· Financial planning and analysis.

· Cash flow forecasting and treasury management.

· Financial modelling.

· Advanced Microsoft Excel.

· Experience with accounting software and ERP systems.

· Power BI or similar reporting tools (desirable).

· Tax and statutory compliance.

· Internal controls and financial risk management.
